Job Description
SprintBach Aviation, a Part 135 charter operator flying PC-12's, is hiring a Flight Operations Coordinator to help run the day-to-day logistics behind every charter trip. Selling/quoting charter trip request. You will take trips from booking to invoice: confirming schedule and crew availability, notifying FBOs, booking crew hotels and cars, releasing flights, tracking aircraft in real time, and keeping clients, pilots and accounting informed at every step.

Key responsibilities:
- Receive quote requests from brokers and clients.
- Review quotes for accuracy before sending.
- Send completed quotes back to brokers promptly.
- Follow up phone calls and emails
- Understanding pilot duty days/rest periods and flight hour restrictions.
- Email management
- Responding promptly and quickly to emails and phone calls
- Verify aircraft availability on the master schedule before any trip is confirmed, including conflicts with flights the day before and after.
- Finalize booked trips in, send the preliminary itinerary, constant communication with clients.
- Send brokers a follow-up confirming the trip is scheduled, the itinerary is out, and how to complete payment.
- Completing daily task assigned
- Verify passenger names, luggage, times, routing and FBOs for upcoming trips; remove duplicate or incorrect repositioning legs.
- Contacting brokers until full passenger information is in hand.
- Send FBO notifications and call each FBO for confirmation, event fees and any PPR requirements.
- Booking for crew hotels/ car rentals
- Review crew duty and rest times against Part 135 limits before confirming any schedule or time change.
- Complete the flight releases
- Send the final itinerary and pre-flight details (tail number, passenger count, departure time, FBO) to each broker.
- Review every flight first thing each morning and send final itineraries for same-day departures.
- Track all tail numbers on FlightAware throughout the day and confirm aircraft are in position.
- Constant communication from clients and pilots
- updating various excel sheets
- Completing bookings for pilots
- Entering company expenses in for each trip
- Triage the Charter and Flight Ops inboxes throughout the day
- Answer broker, client and FBO emails
Qualifications
Required
- 1–2 years in a detail-heavy coordination role: dispatch, scheduling, travel coordination, logistics or customer operations.
- Strong written and phone communication skills
- Able to juggle several time-sensitive tasks at once without dropping follow-ups.
- Sound judgment on when to act and when to escalate.
- Comfortable learning new software quickly; working knowledge of spreadsheets.
- Available for early-morning starts and occasional after-hours contact when flights are moving.
Preferred
- Experience in Part 135 charter, flight dispatch, FBO or airline operations.
- Familiarity with Jet Insight, Flightbridge or FlightAware.
- Working knowledge of crew duty and rest limits, weight and balance, and airport and runway requirements.
