OVERALL JOB PROFILE The Executive - Administrative Facilities & Coordination is responsible for overseeing daily administrative operations and ensuring efficient management of office facilities. This role ensures a safe, well-maintained, and productive work environment while supporting organizational needs. The position reports to the Manager - Facilities.
QUALIFICATIONS & SKILLSETS The candidate should be a B.Com. or MBA with 2-3 years of experience in Office Coordination and Logistics Operations. SCOPE AND JOB ROLE 1. Facility Management Oversee maintenance of office infrastructure, including electrical, plumbing and housekeeping.
Ensure timely repair and preventive maintenance of equipment and assets. Manage office space planning and seating arrangements. Coordinate with vendors for facility-related services. 2.
Administration Management Handle day-to-day administrative activities and office operations. Maintain office supplies inventory and ensure availability. Supervise front office and support staff (security, housekeeping, etc.).
Vehicle management. 3. Vendor & Contract Management Identify, negotiate, and manage vendors for services like housekeeping, security, and maintenance. Monitor vendor performance and ensure SLA compliance.
Process vendor bills and maintain records of contracts and agreements. 4. Compliance & Safety Ensure compliance with company policies and statutory regulations. Conduct regular safety checks.
Maintain documentation related to inspections. 5. Asset & Inventory Management Track office assets and maintain proper records. Conduct periodic audits of assets and inventory.
Ensure proper utilization and lifecycle management of assets. 6. Budgeting & Cost Control Assist in preparing admin and facility budgets. Monitor expenses and implement cost-saving measures.
Ensure optimal utilization of resources. 7. Employee Support Address employee concerns related to facilities and administration. Ensure cleanliness, hygiene, and workplace comfort.
Support internal events, meetings, and conferences.
