The role
We are hiring a single Executive Assistant to support all four Partners across the three cities. You will be the connective tissue that ties four dockets, three benches, and every touchpoint a partner-led practice runs on โ court diaries, client communication, travel, documentation, and internal coordination. The role calls for exceptional cohesion, comprehension, and communication.
You will be trusted with confidential matter details, client sensitivities, and the strategic sequencing of each Partner's week โ and you will be the one person who sees how all four practices fit together on any given day.
What you will own
Diary and court calendar management
- Manage integrated court diaries for all four Partners across the Bombay High Court, Delhi High Court, Punjab & Haryana High Court, NCLT/NCLAT benches, tribunals, and subordinate forums
- Track cause-lists, listing dates, and filing deadlines daily; surface conflicts and clashes proactively
- Coordinate hearings, conferences, client meetings, and internal partner calls across cities
- Protect briefing time, travel time, and preparation windows on each Partner's calendar
Matter and brief coordination
- Maintain a live, accurate matter list per Partner with status, next date of listing, and pending action
- Liaise with instructing solicitors, briefing counsel, clerks, and clients on procedural updates
- Coordinate brief bundles, appearance memos, and hearing files across cities
- Track filing deadlines, limitation dates, and compliance timelines
Communication and client interface
- First point of contact for Partners' incoming calls, emails, and correspondence; screen, prioritise, and route with judgment
- Draft routine correspondence, engagement letters, and follow-ups for Partner review
- Maintain the client contact database with discretion and accuracy
- Manage the flow of privileged and confidential information across all four practices
Travel and inter-city coordination
- Plan and book travel between Mumbai, Delhi, and Chandigarh for hearings, client meetings, and conferences
- Manage accommodation, ground logistics, and visa processing where required
- Coordinate travel calendars so Partners can meet in person efficiently during the consolidation phase
Documentation, billing, and records
- Maintain organised physical and digital filing systems across all four practices
- Track billable time inputs, coordinate invoicing, and follow up on receivables
- Handle expense reports, reimbursements, and vendor coordination
- Own the document management system as it is built out
Firm-building support
- Support the operational integration of the four practices โ common templates, engagement processes, KYC and client onboarding, knowledge management
- Coordinate with junior advocates, interns, and future support staff as the firm grows
- Help institutionalise the workflows that keep four Partners in three cities moving as one firm
- Lead the team as we grow
What we are looking for
- 6โ10 years of executive or secretarial experience, ideally supporting senior professionals (law chambers, law firm, senior counsel, Big 4, or comparable professional services)
- Excellent written and spoken English; working comfort in Hindi is a strong plus; Marathi comfort useful for Mumbai
- Sharp, instinctive judgment on confidentiality โ non-negotiable in legal practice
- Strong command of Google Workspace or MS Office, calendaring tools, and comfort learning legal tech (practice management software, e-filing portals, document management systems)
- Comprehension: you read a matter update or a Partner's brief instruction and act the first time correctly
- Communication: you write clearly and speak with poise to Judges' clerks, senior counsel, clients, and vendors alike
- Cohesion: you hold four independent operating styles together without getting flustered
- Proactive and anticipative; you flag issues before they become fires
- Comfort with ambiguity and pace; willingness to build processes where none exist
Preferred
- Prior experience in a law chamber or litigation-heavy law firm
- Familiarity with Indian court procedure, cause-list conventions, and filing workflows
- Exposure to practice management tools (Provakil, Manupatra, SCC Online, and similar)
