Company Description

We're a cross-border tax and advisory firm (ASAN Group Inc.) with a growing real estate practice, looking for an organized, proactive, and discreet Executive Assistant to become the founder's right hand. You'll own the day-to-day operations — communications, scheduling, data, and marketing coordination — so the founder can focus on high-value client and advisory work. This is a trusted role for someone who is detail-obsessed, an excellent communicator, and reliable with confidential information.


Key Responsibilities


INBOX & COMMUNICATION

• Monitor, triage, and sort the inbox; flag priorities and surface what needs the founder's attention

• Draft, send, and follow up on routine emails in a clear, professional tone

CALENDAR, TO-DOS & COORDINATION

• Manage the calendar and schedule meetings across time zones

• Maintain and align daily/weekly task lists and priorities; send reminders and keep projects moving

CLIENT DATABASE & CRM

• Build and maintain an accurate, well-organized client and contact database

• Segment and tag contacts; track engagements, deadlines, and follow-ups

EXCEL & REPORTING

• Organise data in Excel / Google Sheets; clean, sort, and structure information

• Build and maintain simple trackers and reports using basic formulas and formatting

SOCIAL MEDIA (ASAN + REAL ESTATE)

• Maintain a content calendar and schedule / publish posts across platforms

• Create simple graphics from templates (Canva); draft light captions; monitor and respond to engagement

OUTREACH & LEAD SUPPORT

• Build and clean prospect lists; sort and prioritize leads

• Cold calling / appointment setting to prospective clients; log outcomes and schedule follow-ups

GENERAL ADMIN

• Document formatting, file organization, light research, and ad-hoc support as needed


What You Bring

• 2+ years as a VA / EA / administrator, ideally supporting a founder or professional-services firm

• Excellent written and spoken English

• Strong organization, attention to detail, and proactive follow-through

• Proficiency with Excel / Google Sheets, email & calendar tools, and a CRM

• Comfort with social schedulers and Canva

• Discretion and reliability with confidential financial and client information

• A quiet workspace, dependable internet, and the ability to self-manage


Nice to Have

• Familiarity with QuickBooks or Sage (light bookkeeping exposure)

• Cold calling / tele sales / appointment-setting experience with North American clients

• Exposure to real estate or the accounting / tax industry


Work Arrangement

Full-time and fully remote. We ask for roughly 3–4 hours of daily overlap with Eastern Time (Toronto) for calls and coordination, with some evening-IST availability for North American outreach.


Confidentiality & Data Security

This role handles sensitive client and financial data. A signed NDA is required. You'll access information on a need-to-know basis, use firm-approved tools only, and follow sound security practices (strong unique passwords, no client data stored on personal devices.


Compensation (Indicative)

INR 25k -35k per month
