About the Company We are seeking a highly experienced and detail-oriented Documentation Manager to lead our offshore case processing and documentation team. In this role, you will oversee the end-to-end preparation, quality control, and compliance auditing of Australian migration applications in strict accordance with Department of Home Affairs (DHA) standards. Operating from our offshore office, you will act as the critical bridge between your remote processing team and our Australia-based Registered Migration Agents (RMAs), ensuring flawless execution, strict deadline management, and high-quality outcomes for our Australian clients.

About the Role In this role, you will oversee the end-to-end preparation, quality control, and compliance auditing of Australian migration applications in strict accordance with Department of Home Affairs (DHA) standards. Responsibilities Team Leadership & Case Management (Offshore) Lead, mentor, and supervise a dedicated offshore team of Case Officers and Documentation Coordinators. Manage daily workflow allocation, monitor submission pipelines, and ensure the team meets strict Australian Eastern Standard Time (AEST) operational deadlines.

Conduct regular training sessions for the offshore team on updated DHA policies, skills assessment criteria, and internal standard operating procedures (SOPs). Quality Assurance & Compliance Collaborate with the Internal QA Team: Partner closely with the internal Quality Assurance team to review audit findings, analyze recurring error trends, and implement immediate corrective actions across the processing floor. Workflow Oversight & Pre-Screening: Ensure all case files—including Skills Assessments, Expressions of Interest (EOIs), State Nominations, and Visa Applications (GSM, Employer-Sponsored, Partner)—undergo primary data verification before being queued for formal internal QA review.

Feedback Loop Management: Review QA calibration reports, resolve disagreements regarding policy interpretation between Case Officers and QA auditors, and ensure the team updates case files accurately based on QA feedback before escalating to onshore RMAs. RFI and Refusal Analysis: Conduct root-cause analysis alongside the internal QA team whenever a Request for Further Information (RFI) or an adverse decision is received, updating internal training documentation to prevent future occurrences. SOP & Checklist Alignment: Work hand-in-hand with the internal QA team to continuously refine, update, and standardize processing checklists and Standard Operating Procedures (SOPs) in line with changing DHA regulations.

Stakeholder Collaboration & Client Communication Seamlessly collaborate with onshore RMAs and Australian management via CRM, video conferencing, and secure communication channels. Directly manage complex, escalated documentation queries, guiding case officers on how to handle difficult document verifications or regional anomalies. Oversee clear, professional written communication with Australian clients to request, clarify, and verify evidentiary documents.

Qualifications Education: Bachelor’s degree in Business Administration, Legal Studies, Human Resources, or a related field. Experience: Minimum 5+ years of hands-on experience preparing complex Australian migration applications, with at least 2+ years in a supervisory or team lead capacity. Systems Expertise: Advanced proficiency with ImmiAccount, SkillSelect, VEVO, and specialized migration CRM platforms (e.g., Immisys).

Technical Knowledge: Deep, up-to-date structural understanding of General Skilled Migration (GSM - 189/190/491), Employer-Sponsored (482/186), and Family/Partner visa pathways, including the specific requirements of major assessing authorities (e.g., VETASSESS, ACS, CPA/CA). Communication: Exceptional verbal and written English communication skills, with a proven track record of interacting professionally with Australian stakeholders or clients. Required Skills Prior experience working within an offshore delivery center explicitly backing an Australian immigration law firm or Registered Migration Agency.

Formal training or certification in Australian Migration Law. Preferred Skills Cross-Border Coordination: Proven ability to manage a team effectively across different time zones, maintaining high energy and accountability during AEST business hours. Data Security & Privacy Integrity: Strict adherence to data protection protocols, recognizing the highly confidential nature of client identity and financial documents across international borders.

High Attention to Detail: Exceptional proofreading and analytical skills; ability to spot inconsistencies in employment references, tax documents, and qualifications instantly.
