Reporting to Factory Service and Quality Assurance Senior Manager, Packaging, the Customer Service Representative is to provide an effective and efficient customer service to all internal and external OIA customers by utilizing excellent, in-depth knowledge of company products, policies and procedures and shipping Documentation and finance tracking based on payment terms. Initially, this role will also require significant involvement in supporting operational and financial processes. Half of the responsibilities will focus on assisting with financial accounting and closing the books, collaborating closely with financial consultants to meet monthly reporting deadlines, and managing day-to-day tax filings and bill payments.

Duties and Responsibilities:

  • Communicate & assist regularly with FWF customers with inquiries. Receive and process customers’ orders in a time-bound manner.
  • Professionally update customers with shipment status; update potential delays or unusual circumstances.
  • Create Invoice & packing list, handling Customs Clearance Agents.
  • Follow up with the Suppliers for Delivery of goods on time.
  • Escalate potential issues and ensure corrective actions are taken in accordance with business guidelines and customer requirements
  • Troubleshoot and resolve non-routine or complex issues / escalations with professionalism and in line with OIA service standard and requirement
  • Facilitate business continuity by tracking and ensuring responses to related communications.
  • Cooperate and liaise with other departments to solve customers’ requests and inquiries
  • Ensure data integrity by performing timely and accurate data entry
  • Contribute to company’s yearly goals and targets
  • Inform customers about other available services to gain additional business. Following up on potential business leads and opportunities
  • Update internal parties with the most up-to-date Quotations / routing orders / SOPs
  • Manage monthly, quarterly, and annual close processes in alignment with the close calendar and company policies.
  • Coordinate cross-functionally to ensure timely and accurate financial reporting.
  • Oversee daily accounting operations including cash reconciliations, accounts receivable/payable transactions, payments, debt activity, and recording of revenue, costs, and expenses.
  • Assist in establishing and enforcing proper accounting methods and procedures. Collaborate with regional and headquarters finance teams for accurate financials.
  • Coordinate with tax authorities for statutory declarations and collaborate with tax and audit consultants for monthly, quarterly, and annual filings.

  • University Graduate. Preferred education in logistics/business administration/marketing/Finance
  • Footwear industry Customer’s handling experience preferred
  • Minimum 2 plus years of experience in logistics / freight forwarding related industry, customs clearance experience are preferred
  • Proficient in Microsoft Office applications.
  • Proficient in English, Tamil and Hindi.
  • Analytical skills and data analysis required.
  • Need to remain calm under pressure.
  • Skilled at managing and developing teams.
  • Strong customer service working background.
  • Occasional travel and offsite working at customer/supplier locations.
