Position Overview
Reporting to the Customer Service Lead, the Customer Service & Administration Support representative plays a vital role in providing outstanding service to customers while supporting the sales team with quotations, order processing and day-to-day administration.
This role is responsible for ensuring customer enquiries are handled efficiently, orders are processed accurately, and customers receive a professional and seamless experience from enquiry through to delivery.
Key Responsibilities
Customer Service
Respond to customer enquiries via phone, email and online channels.
Provide prompt, professional and accurate product information.
Process customer orders efficiently and accurately.
Manage customer expectations regarding pricing, stock availability and delivery timeframes.
Resolve customer issues and elevate where required.
Build strong relationships with customers through responsive and proactive communication.
Maintain high levels of customer satisfaction at every interaction.
Internal Sales Support
Prepare quotations and follow up where required.
Support Business Development Managers with administrative and sales activities.
Process sales orders and ensure documentation is complete.
Assist with pricing requests and product availability.
Coordinate with Purchasing, Warehouse and Operations to ensure smooth order fulfilment.
Monitor open orders and proactively communicate updates to customers and sales representatives.
Assist with customer account maintenance and CRM updates.
Maintain accurate customer records within company systems.
Ensure all sales documentation is complete and compliant.
Support reporting requirements as requested by the Customer Service Lead.
Assist with general office administration as required.
Contribute to process improvements that enhance customer experience and operational efficiency.
Key Skills & Experience
Previous experience in Customer Service or Internal Sales.
Strong communication and interpersonal skills.
Excellent organisational and time management abilities.
High attention to detail.
Ability to multitask and prioritise in a fast-paced environment.
Strong computer skills, including Microsoft Office.
Experience with ERP and CRM systems (NetSuite experience is advantageous).
Professional telephone manner.
Positive, team-oriented attitude with a willingness to learn.
