About the Role
We are looking for a organised, detail-focused and calm under pressure Clinic Manager to join us on an initial 6 month fixed-term contract. This role will support the smooth day‑to‑day running of our Finchley and Barnet service. It blends patient administration, reception duties, and payment handling with responsibility for office and facilities management, stock control, and maintaining a safe, well‑run clinic environment.
You’ll work closely with clinicians, support patient bookings, manage supplies, and ensure the clinic remains welcoming, organised, and efficient. The ideal candidate is practical, detail‑focused, and confident managing multiple tasks in a busy healthcare setting.
Key Responsibilities
- Referral & appointment coordination - manage Barnet and NHS home‑visit referrals, bookings, DNAs, reassessments, and online appointments across multiple regions
- Inbox & correspondence management - monitor email and WhatsApp channels; prepare letters, messages, GP correspondence, and reports
- Reception & payments - welcome walk‑in patients, provide reception cover, process payments and direct debits
- Dispatch & returns - manage deliveries, postage, accessory dispatch, returns, refunds, and manufacturer shipments
- Stock & supplies - oversee stock levels, place orders, and manage spend within agreed limits
- Office & facilities - maintain an organised office, monitor equipment, coordinate repairs, and act as the main contact for facilities and IT support
- General admin - handle documentation, filing, and back‑office processes; support Devonshire clinic when required
Essential Qualifications & Skills
- Confident using diary management systems, booking tools, and online ordering platforms
- Experience in administrative, reception, or office coordination roles
- Strong written and verbal communication skills
- Calm, professional, and patient‑focused
- Accurate with diary entries, documentation, payments, and stock records
- Able to manage multiple tasks in a busy environment
- Experience working in a healthcare or clinic environment is helpful
