Job Description

We are looking for a detail-oriented and organized professional to support academic operations, student services, and library management at our Mumbai & Bangalore campus.


About the Role


The role will involve managing student and academic records, supporting examinations and admissions processes, responding to student requirements, and ensuring the smooth day-to-day functioning of library resources and services. The ideal candidate should be comfortable working across multiple systems, coordinating with students, faculty, and internal teams, and managing data and documentation with a high degree of accuracy.


Responsibilities


Academic Operations & Student Lifecycle Management

  • Maintain and update student information accurately across relevant academic and institutional portals.
  • Manage student data related to course, programme, and campus changes.
  • Process and issue academic transcripts, bonafide certificates, NOCs, and other student-related documents.
  • Maintain data and support administrative processes related to supplementary examinations, including eligibility, scheduling, and records.
  • Support international students with WES documentation, verification, and related processes.
  • Ensure timely and accurate maintenance of academic records and documentation.


Student Services & Support

  • Respond to student enquiries through email, calls, and other communication channels in a timely and professional manner.
  • Provide guidance to students on academic processes, documentation, and institutional procedures.
  • Coordinate and process student refunds, withdrawals, and transfers in collaboration with relevant teams.
  • Act as a key point of contact for students, ensuring a positive and efficient service experience.


Admissions & Examination Support

  • Manage registrations and data entry for new students on the admissions portal.
  • Support the administration and coordination of entrance examinations.
  • Coordinate with examiners and ensure examination marks are accurately populated and shared with the Admissions team.
  • Maintain accurate records related to admissions and examination activities.


Financial & Administrative Processing

  • Process and coordinate visiting faculty invoices in accordance with institutional processes.
  • Support student fee collection and ensure accurate recording and processing of fee-related transactions.
  • Coordinate with Finance and other internal stakeholders on financial and administrative requirements.


Library Resource Management

  • Organize, catalogue, classify, and maintain books, journals, digital content, and electronic resources.
  • Ensure accurate labelling and classification of library resources for easy identification and retrieval.
  • Maintain accurate and up-to-date records in the Library Management System (LMS).
  • Support the overall organization and efficient functioning of library resources.


Library Services & User Support

  • Manage book issuance, returns, renewals, and overdue follow-ups.
  • Assist students and faculty in accessing and effectively using library resources.
  • Support users in navigating the Koha Library Management System and other digital library tools.
  • Provide day-to-day assistance with library-related queries and resource requirements.
  • Promote effective utilization of physical and digital library resources among students and faculty.


Campus Events & Coordination

  • Support the planning and execution of campus activities including orientation programmes, seminars, workshops, masterclasses, and convocation ceremonies.
  • Coordinate with internal teams and stakeholders to ensure smooth execution of events and related administrative activities.
  • Provide on-ground operational support during campus events as required.


Qualifications


  • Any graduate / Postgraduate.
  • 5-10 years of experience.
  • Prior experience in academic administration, student services, library operations, or educational institutions will be preferred.
  • Strong attention to detail and ability to manage large volumes of data and documentation accurately.
  • Comfortable working with student information systems, portals, systems, and digital tools.
  • Good written and verbal communication skills.
  • Strong coordination and interpersonal skills with the ability to work effectively with students, faculty, and internal stakeholders.
  • Ability to multitask, prioritize responsibilities, and work within deadlines.
  • Proficiency in MS Office, particularly Excel and Word.
  • Experience with Koha or other Library Management Systems will be an added advantage.
