About the Role

We are seeking an organised and reliable Administration Assistant to support our Site Manager and assist with the day-to-day administration tasks at our Colbinabbin pellet mill.

As this is a newly created position, the responsibilities will continue to evolve as the needs of the business become more clearly defined. We are seeking an individual with exceptional communication skills who is proactive, takes pride in their work, and can work both independently and collaboratively. The successful candidate will provide valuable support to the Browns Management team and contribute to the ongoing success and growth of our Colbinabbin operations.

The role offers family-friendly hours of 9:00am to 3:00pm, Monday to Friday (with the possibility of flexible arrangements for the right candidate), making it well suited to someone returning to the workforce or looking for a role that fits around school hours.

Key Responsibilities

Responsibilities will include, but are not limited to:

  • Providing reception services and responding to customer enquiries.

  • Communicating with customers, suppliers, drivers, and personnel at other company sites.

  • Managing site documentation and maintaining organised filing systems.

  • Assisting with development and drafting of Standard Operating Procedures (SOPs), and other Work Health and Safety documentation.

  • Participating in Toolbox meetings and taking accurate minutes.

  • Assisting with maintenance and accuracy of FeedSafe files and documentation.

  • Maintaining a clean and tidy office, lunchroom and weighbridge office.

  • Providing general administrative support as required.

  • Operating the weighbridge, including weighing and testing incoming grain loads.

  • Maintaining accurate weighbridge records for customers, suppliers, staff and drivers.

  • Preparing weighbridge dockets, maintaining spreadsheets and forwarding information to Head Office as required.

About You

You will be someone who enjoys working in a small team, takes pride in being organised and reliable, and is comfortable with a hands-on role where priorities can vary.

You will have:

  • Strong computer skills, including confidence in using Microsoft Word, Excel and the ability to learn new systems and software.

  • Excellent communication skills and a professional manner.

  • Strong attention to detail, organisation and time management skills.

  • The ability to work independently, use initiative and solve problems.

  • A flexible, practical approach with a willingness to pitch in and assist where needed.

  • The ability to maintain confidentiality.

  • A current driver's licence.
