Job DescriptionAccounts Administrator About the Role We are looking for a highly organised, detail-focused and numerically accurate Accounts Administrator to join our team. This role is responsible for the accurate and timely administration of customer invoicing, PPM (Planned Preventative Maintenance) contracts, recurring invoices and associated financial records. The successful candidate will work closely with the Accounts, Operations and Service teams to ensure that invoices are correctly prepared, processed and closed off, and that all supporting information is accurate and complete.

This is a hands-on administrative role that requires excellent attention to detail, strong Excel skills and the ability to manage a high volume of work without compromising accuracy. The ideal candidate will be methodical, proactive and comfortable identifying discrepancies, following up outstanding information and working independently to ensure deadlines are met. Key Responsibilities Invoicing: Prepare, check and process customer invoices accurately and on time, including verifying VAT rates, nominal codes, service descriptions and PO numbers, and resolving any discrepancies.

PPM & Recurring Billing: Set up and maintain PPM contracts, ensure contract information is accurate and up to date, and process recurring invoices in line with agreed billing schedules. Purchase Orders: Monitor and chase outstanding POs and follow up with customers and internal teams to obtain missing or incorrect information required for invoicing. Data & Records: Maintain accurate invoicing, PPM and financial records across relevant systems, databases and Excel spreadsheets, ensuring information is regularly reviewed and updated.

Team Liaison: Work closely with the Accounts, Operations and Service teams to resolve queries, obtain information and ensure invoices are processed efficiently. General Administration: Manage a high volume of work while maintaining a high level of accuracy, prioritise competing deadlines, identify issues proactively and provide general administrative support to the Accounts function as required. Skills and Experience Essential Excellent attention to detail with a highly methodical approach to work.

Strong numerical ability and a high level of accuracy. Excellent organisational and time-management skills. Strong Excel skills and confidence working with spreadsheets and large amounts of data.

Ability to identify errors, discrepancies and missing information. Ability to manage a high volume of administrative work while maintaining accuracy. Strong written and verbal communication skills.

Ability to work independently and take ownership of tasks. Ability to prioritise competing workloads and meet deadlines. A proactive approach to following up outstanding information and resolving issues.

Good general IT skills and confidence learning new systems and software. Desirable Previous experience in an accounts administration, finance administration, invoicing or similar role. Experience working with customer invoicing and purchase orders.
