Job Description

The Mission Safeguard Armor is scaling our international government tender division through an AI-powered tender platform. We are building the operational capability to submit hundreds of government tenders globally across military uniforms, police equipment, PPE, tactical products, and industrial procurement categories. We need a highly organised, detail-oriented Tender Operations Manager to coordinate and control the day-to-day execution of our tender pipeline.

This is not a strategy role, it is a supervisor leader role, focused on the day to day practical supervising and task management of the day to day tender operations to ensure we win as many tenders as possible. Your responsibility is simple: ensure every tender moves through the process correctly, all information is collected, all suppliers respond, all documents are complete, and every submission reaches the finish line on time. You will manage a small team plus tasks, suppliers, deadlines, documents, and outcomes.

Key Responsibilities 1. Tender Pipeline Coordination Tender Tracking: Maintain oversight of 50+ active tenders simultaneously. Ensure every opportunity has a clear next action, owner, and deadline.

Progress Monitoring: Track all supplier responses, quotations, certifications, testing activities, and documentation requirements. Deadline Control: Ensure every tender progresses according to schedule and is submitted before deadline. Issue Escalation: Identify delays, missing documents, supplier bottlenecks, and process failures early and drive resolution. 2.

Supplier & Laboratory Coordination Supplier Follow-Up: Coordinate directly with manufacturers, distributors, testing laboratories, and certification bodies. Information Collection: Obtain quotations, certifications, test reports, technical documentation, lead times, and supporting evidence. Response Management: Maintain constant communication with suppliers to ensure actions are completed on time.

Documentation Control: Ensure all supplier information is complete, organised, and correctly stored within company systems. 3. Documentation & Compliance Requirement Verification: Review tender requirements and ensure all required documentation has been collected. Submission Checks: Verify all forms, certificates, declarations, and supporting documents before submission.

Compliance Control: Ensure submissions meet formatting, administrative, and compliance requirements. Error Prevention: Identify missing information and inconsistencies before they create submission risks. 4. Systems & Data Management System Updates: Maintain accurate tender records within our ERP, CRM, and workflow systems.

Data Accuracy: Ensure tender status, supplier information, pricing, documentation, and task ownership remain up to date. Process Compliance: Follow established workflows and ensure all required process steps are completed correctly. Reporting: Provide accurate status reporting across active tenders and operational activities. 5.

Operational Support Supplier Coordination: Support procurement activities by tracking supplier responses and progress. Laboratory Coordination: Manage testing schedules, quotation requests, and report collection. Administrative Control: Maintain organised records across multiple simultaneous projects.

Workflow Discipline: Ensure tasks are completed according to agreed processes and deadlines. Ideal Candidate Profile Highly Organised You naturally keep track of details, deadlines, documents, and follow-ups without things slipping through the cracks. Detail-Oriented You enjoy checking work, verifying information, and ensuring accuracy before completion.

Persistent If information is missing, you follow up until it is received. You do not assume work is complete until it is verified. Deadline Driven You understand the importance of fixed deadlines and consistently prioritise work to meet them.

Process Focused You are comfortable following established workflows and ensuring process discipline across multiple activities. Systems Comfortable You enjoy working with ERP systems, CRM systems, spreadsheets, workflow tools, and operational databases. Relevant Experience Background in: Tender Operations Bid Coordination Tender Administration Procurement Administration Supply Chain Coordination Project Coordination Manufacturing Administration Compliance Administration is highly preferred.
