Systems, Automation & AI Engineer ALIV Regenerative Wellness | Pune (primary) — remote-friendly for the right candidate About the role ALIV is scaling across three cities, multiple verticals (IV, peptides, ACT, PRP, exosomes), and an operational stack that already includes Zoho One, Make.com, Google Workspace, WhatsApp Business, and a library of internal AI skills used daily by the founder and team. The architecture is designed. Some of it is built.

Most of it is waiting for an owner. We're hiring a Systems, Automation & AI Engineer to come in and own the entire operational backbone — CRM build-out, automation pipelines, AI workflow integration, and the infrastructure that ties the clinic, the team, and the clients together. Analytics is a plus on top, not the core ask.

Reporting & team Reports to: Founder / CEO Works alongside: Founder, clinical leadership, marketing, front desk teams across locations, future data analyst hire Stakeholders: Founder, location leads, clinical and operations teams Core responsibilities 1. CRM build-out and ownership (Zoho One) Implement and customise ALIV's Zoho One stack against the existing v2.0 blueprint Configure modules across CRM, Books, Inventory, Desk, Sign, and Creator as needed Build the patient and partner portals Set up role-based access, multi-location segmentation, and audit trails Migrate existing data cleanly into the new system Train users (front desk, doctors, ops) and maintain documentation 2.

Automation pipelines (Make.com) Own and extend ALIV's Make.com automation layer Maintain and harden the existing pipeline: Plaud transcript → AI parsing → document generation → WhatsApp review gate → Google Drive Build new scenarios for lead routing, consult follow-up sequences, calendar coordination, inventory alerts, document distribution, and partner workflows Integrate WhatsApp Business API, Gmail, Google Calendar, Google Drive, and Zoho into a coherent end-to-end flow 3. AI and LLM integration Operationalise ALIV's internal AI skills library as live, deployable assets — not one-off scripts Build LLM-powered workflows for consult summarisation, document generation, content drafting, research synthesis, and internal knowledge retrieval Prompt engineering, skill maintenance, version control, and quality assurance on every AI-touched workflow Monitor AI costs, output quality, and failure modes; build sane fallbacks 4. Integration and infrastructure Connect the full stack: CRM ↔ Make ↔ LLMs ↔ Google Drive ↔ WhatsApp ↔ Calendar ↔ Vendor APIs API integrations with lab partners, pharmacy vendors, inventory suppliers, and pharma partners Build the internal tools the team actually needs — dashboards, forms, checklists — without over-engineering them Maintain Google Drive taxonomy and document management infrastructure 5.

Data analytics (plus, not core) Build operational dashboards in Zoho Analytics, Looker Studio, or Power BI Support marketing, clinical, and finance reporting needs until the dedicated analyst hire comes in Hand off cleanly to the analyst when ALIV scales, while owning the data-engineering plumbing underneath 6. Compliance and security Implement DPDP Act 2023 requirements across CRM and automation flows Role-based access controls, audit logging, and patient data segregation Maintain data isolation for partner and NDA-protected workflows (e.g. Gufic) Establish backup, recovery, and continuity practices Required qualifications 3–6 years building operational systems, automations, or CRM customisations at a startup, scale-up, agency, or operations role — ideally with founder-level autonomy Hands-on Zoho One or comparable CRM (Salesforce, HubSpot) administration and customisation experience Expert-level Make.com / n8n / Zapier , with strong API integration experience (REST, webhooks, JSON) Light coding ability: JavaScript and/or Python; comfortable reading and writing scripts to extend no-code tools LLM API integration experience (OpenAI, Anthropic Claude, or equivalent) and prompt engineering fluency Google Workspace administration Preferred qualifications Direct Zoho One implementation experience (Deluge scripting a strong plus) Healthcare, life sciences, or regulated-industry experience Working familiarity with DPDP Act, GDPR, or HIPAA data-protection frameworks Analytics tooling: Zoho Analytics, Power BI, Looker Studio, SQL AI agent / agentic workflow experience — orchestration, evals, guardrails Multi-location operations experience Who this role is for Mindset more than CV.

You don't over-engineer a system the team will use twice a week. And you don't under-engineer a system the entire clinic runs on You're AI-fluent without being AI-precious. LLMs are tools in your stack, not religion.

You know what they do well, where they break, and how to build guardrails around them You move fast on the 80% answer and don't gold-plate the 100% You're self-directed. The architecture and direction are set; you don't need someone managing your daily work — you need someone unblocking it You take compliance and patient data seriously. You don't treat DPDP as a checkbox or healthcare data as just another data type You're a player-coach with vendors and agencies.

You can do the work, which is why your briefs and reviews carry weight You're comfortable around clinicians, the founder, and operations staff alike. You translate between them when the conversation gets stuck
