Executive Assistant/Secretary

Location: Gurugram

Experience: 5+ years of relevant legal secretarial / executive assistant experience, preferably with a law firm


About the Role

We are looking for a highly organised and detail-oriented EA/Secretary to provide comprehensive secretarial and administrative support to our lawyers and teams in the Gurugram office.

The ideal candidate should have prior experience in a law firm or professional services environment, strong proficiency in Microsoft Office, excellent communication skills, and the ability to manage multiple priorities while maintaining a high degree of confidentiality and attention to detail.


Key Responsibilities

  • Provide day-to-day secretarial and administrative support to partners, lawyers, and teams.
  • Prepare, format, proofread, compile, and maintain legal documents, correspondence, presentations, and other client-related documents in accordance with professional formatting standards.
  • Assist with document management, including indexing, organising, maintaining, and retrieving files and records.
  • Coordinate meetings, conference calls, appointments, and diaries, including scheduling across multiple stakeholders.
  • Manage travel arrangements, itineraries, and related logistics.
  • Assist with preparation and submission of timesheets, expense statements, vouchers, and other administrative records.
  • Support lawyers with file opening, file codes, billing-related matters, and other practice administration requirements.
  • Coordinate with internal teams and external stakeholders as required.
  • Maintain accurate and up-to-date records and ensure timely follow-up on pending matters.
  • Handle confidential and sensitive information with discretion.
  • Undertake other administrative and secretarial responsibilities as required.


Skills & Qualifications

  • 5+ years of relevant experience as a Legal Secretary, Executive Assistant, or similar role, preferably in a law firm.
  • Strong working knowledge of Microsoft Word, Excel, and PowerPoint.
  • Good understanding of legal document formatting, compilation, and indexing.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management skills, with the ability to manage multiple tasks and deadlines.
  • High attention to detail and accuracy.
  • Ability to work independently as well as collaboratively in a fast-paced professional environment.
  • Strong interpersonal skills and a professional approach.
  • Ability to handle confidential information with discretion.
