Part-Time Accounts Administrator- Finaghy

Reed Recruitment are delighted to be working with a successful organisation, and a market leader within their field. Our client has a new opportunity for an experienced Administrator to join their team on a part-time basis.

The successful applicant will come from an administrative background and will be able to work 4 mornings per week. The working hours are Monday- Thursday 9am-1pm with a Friday off, and the daily duties will include the following:

  • Act as the primary point of contact for customers and clients, ensuring that all queries/issues are appropriately escalated.
  • Input, process, monitor, and validate information effectively and timely, ensuring accuracy and attention to detail in all invoicing, payments, and banking administration.
  • Raise all invoices relating to contracts, manage payments, and ensure all payments are received on time, including contacting customers for timely payments.
  • Check invoice payments received via the bank, update the payment tracker daily.
  • Under the direction of Sales Representatives, raise all new contracts and ensure all provided information is correct.
  • Maintain a system to track all contracts, ensuring they are on schedule and will ship as per contracted date with minimal disruption.
  • Support in the effective management and monitoring of shipping schedules, liaising with buyers and suppliers to facilitate smooth operations.
  • Report any late deliveries or delays directly to Sales Representatives and buyers.
  • Follow tracking of containers, arrange delivery to the buyer's yard, and ensure smooth delivery.
  • Manage and monitor all stock/stationary items within the office and day-to-day maintenance of the office environment.
  • Service meetings, including preparation of agendas, distribution of papers, minute taking, and follow-up actions.
  • Maintain and update diaries, organize meetings, make travel arrangements, and monitor staff leave.
  • Communicate effectively with staff and maintain productive working relationships

Required Skills & Qualifications:

  • A minimum of 2 years' experience in an administrative role
  • Experience carrying out the above job duties or similar
  • IT Proficient
  • The ability to communicate with both suppliers and customers

Benefits:

  • Pro-rata holiday entitlement of 12 days based on a 16-hour work week, inclusive of all statutory holidays.
  • Eligibility to participate in the company pension scheme.
  • £27,000- £28,0000 per annum pro rata dependent on experience
