Role


As the Executive Assistant to the HR/Admin Manager, you provide essential operational, administrative, and financial support to our US-based HR/Admin Manager. Working remotely from offshore, you serve as a force multiplier by taking ownership of routine administrative duties, inbound phone management, basic bookkeeping, and payroll data entry.

In this position, you combine high-level administrative organization with financial precision and absolute discretion. You ensure that company expenses are categorized, payroll inputs are error-free before leadership review, inbound calls are handled professionally, and HR documentation remains pristine and audit-ready.


Responsibilities


  • Financial & Payroll Support: Track and organize company expenses for tax preparation; input payroll data (hours, performance pay, adjustments) for final review; maintain organized records of receipts and invoices; assist with basic bookkeeping and flag financial discrepancies promptly.
  • Administrative & Communication Support: Answer and manage all inbound calls remotely; route inquiries and follow up with team members, clients, and vendors promptly and professionally; triage inbox and Slack channels as needed.
  • HR Operations Support: Assist with onboarding logistics, document management, candidate scheduling, employee record maintenance, and routine HR communications.
  • Document & Data Security: Maintain total confidentiality regarding sensitive payroll, financial, and personnel information, keeping files structured and audit-ready.
  • AI & Process Automation: Daily use of AI tools to draft communications, summarize notes, log receipts, and streamline recurring administrative tasks to optimize efficiency.


Results


  • Accurate & Timely Payroll Processing: Expense data and payroll inputs are 100% accurate, organized, and submitted on time for the HR/Admin Manager's final review.
  • Audit-Ready Financial Records: Receipts, invoices, and expense documentation are systematically logged and continuously prepared for seamless tax-time reconciliation.
  • Prompt & Professional Phone Management: 100% of inbound calls are answered, properly logged, and routed to the correct team members with zero dropped follow-ups.
  • Administrative & HR Alignment: Daily HR workflows, employee documentation, and calendar coordination run smoothly without operational bottlenecks.


Requirements


  • Location & Schedule: Based offshore US with high-speed internet, power backup, and ability to overlap effectively with U.S. Central business hours.
  • Finance/Accounting Background: Coursework or practical experience in accounting, bookkeeping, or finance strongly preferred.
  • Software & Payroll Stack: Experience with payroll systems and expense-tracking software (e.g., QuickBooks, Gusto, ADP, Expensify) is a strong plus; proficiency with Google Workspace, Slack, Zoom, and Airtable required.
  • Communication & Phone Confidence: Exceptional verbal and written English skills; highly comfortable handling phone-based client, vendor, and team interactions remotely.
  • Discretion & Reliability: Deeply trustworthy with proven experience handling sensitive financial and employee payroll information with total confidentiality.
  • AI & Technical Fluency: Daily comfort using modern AI tools for drafting, data extraction, and workflow efficiency.
