As our business continues to grow, we're looking for an enthusiastic and organised Administration Officer to join our team. This role is ideal for someone early in their career who enjoys helping others, learning new skills, and working in a busy office environment.
About the Role
As an Administration Officer at Lackon, you will play an important role in supporting the smooth operation of our business. Working closely with the Finance and Operations Manager, you'll assist with a variety of administrative tasks across HR, finance, marketing, office management and team support functions.
This role is ideal for someone who is organised, proactive and looking to build a long-term career in administration within a growing infrastructure consultancy.
Key Responsibilities
HR & People Support
- Coordinate onboarding and offboarding activities
- Liaise with new employees and support the employee experience
- Order uniforms, business cards and other employee resources
- Assist with general HR administration
Finance & Operations
- Provide administrative support to the Finance and Operations Manager
- Assist with business operations and process improvements
- Support reporting and record management activities
Marketing & Events
- Coordinate with suppliers for design, printing and promotional materials
- Assist with internal and external events
- Support marketing initiatives and company communications
Office & Facilities Management
- Manage office supplies, stationery, consumables and kitchen stock
- Organise catering, groceries, morning teas and team events
- Liaise with IT providers regarding laptops and equipment
- Coordinate with A/V suppliers to support meeting room functionality
Fleet Coordination
- Schedule servicing, maintenance, detailing and repairs for pool vehicles
- Maintain fleet records and documentation
- Track bookings and update shared calendars to ensure visibility across the team
Travel Support
- Provide backup travel booking and administration support
- Coordinate flights, accommodation and travel logistics
- Ensure travel arrangements are accurate and cost-effective
General Administration
- Prepare, format and maintain professional documents
- Manage filing systems and business records
- Handle correspondence and general office administration
- Assist with maintaining and updating ISO compliance documentation

Skills & Experience
You will bring:
- 1+ years' experience in administration, customer service or office support, or a strong willingness to learn.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint)
- Excellent organisational and time management skills
- High attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to manage competing priorities and meet deadlines
- A proactive, can-do attitude and willingness to support a variety of business functions
- Current Australian Driver Licence
Experience within construction, engineering, consulting or local government environments will be highly regarded but is not essential.

Purpose
As the Building Admin Assistant, you will play a pivotal role alongside the Building Manager and the Building Assistant Manager collaborating to maintain the property's seamless operation. Your primary objective is to provide high level secretarial support to the General Manager and Management team. Responsible for the overall management of all administrative processes of the Property.
Primary Responsibilities
- Handles all enquires that are directed to the administration department.
- Provide passionate, knowledgeable and friendly service to external and internal guests at all times.
- Assist guests with all enquiries and complaints and provide accurate information to guests about Property facilities and features.
- Answer all telephone calls within three rings in a professional manner according to brand standard.
- Ensures the confidentiality of all information that is processed.
- Coordinates and arranges appointments, travel, conferences, meetings and accommodation.
- Is aware of the General Manager and Managements movements, in and out of the Property, for the purpose of incoming calls or inquiries.
- Prepares correspondence on behalf of the General Manager and the Property.
- Provides assistance with and preparation for Executive, Departmental or Team Member meetings (including recording Minutes of meetings)
- Obtains quotes and raises purchase orders as required.
- Liaises with contractors and suppliers as required.
- Collects and compiles information from various data as directed by the General Manager.
- Compiles reports as required by Management.
- Ensures sufficient stationary is available at all times.
- Carries out general office duties such as photocopying, opening & distributing mail and sustains a proficient filing system.
- Coordinates all material to be displayed on the Team Members notice board.
- Maintain the cleanliness and the presentation of the office at all times.
- Coordinate uniform and name badge ordering and distribution for the Property.
- Assist with the collating and distribution of Owner’s Newsletter.
- Updates and maintains all Team Member files.
- Issue Birthday Cards, Milestone and Team Member of the Month collateral
- Assist management with day to day operations.
