Job DescriptionReceptionist / Administrative Assistant Dublin 22 Our client, is seeking an experienced Receptionist / Administrative Assistant to join their CEO Office team based in Clondalkin, Dublin 22. This is a varied role for an organised and professional individual who enjoys being the first point of contact for an organisation while also providing administrative support to senior leadership. Youll manage reception and meeting room coordination, support office operations, contribute to the Quality Management System and act as a key liaison for Health & Safety and office maintenance.

The Role Provide a professional and welcoming reception service for visitors, staff and stakeholders. Manage incoming calls, emails and general enquiries. Oversee visitor access, security and sign-in procedures.

Coordinate meeting rooms, including room setup, catering, refreshments and equipment. Organise internal events, workshops and CEO Office meetings, ensuring all arrangements run smoothly. Provide administrative support including stationery orders, post, couriers, taxis and general office requirements.

Support the Quality Management System (QMS), including participation in the internal audit programme, audit preparation and follow-up of corrective actions. Act as a liaison with internal and external Health & Safety and maintenance providers. Coordinate DSE assessments, H&S communications, provider visits and follow-up actions.

Support H&S activities including new-starter induction, fire warden duties and workplace inspections. Log and follow up on office maintenance and staff-reported issues. Provide day-to-day administrative support to the Senior Executive Assistant to the CEO and wider Executive Team.

Assist with document preparation, filing, office supplies and CEO Office projects. Provide HR administration support and assist with ad hoc projects as required. The Person 3+ years experience in a reception, administrative or front-of-house role.

Excellent communication and interpersonal skills, with a professional and approachable manner. Strong organisational skills with the ability to manage multiple priorities. Excellent attention to detail and accuracy.

Ability to handle confidential and sensitive information with discretion. Proactive, calm and practical approach to problem-solving. Strong Microsoft 365 skills, particularly Outlook, Teams, Excel, Word and SharePoint.

Experience coordinating meeting rooms, events or office services would be advantageous. Experience with QMS or internal audit processes would be an advantage, although training can be provided. Experience or an interest in Health & Safety, facilities or office coordination would be beneficial.
