About the Role
A leading multidisciplinary engineering consultancy operating across the UK and Ireland, has an opportunity for an experienced and highly organised Office Manager to join our Belfast office.
This is a varied role that combines office management, administration, coordination and tender support within a busy, professional, deadline-driven environment. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the office while providing administrative support to engineering and management teams.
Key Accountabilities
- Manage the day-to-day administration of the Belfast office, ensuring the office is organised, efficient and professionally maintained.
- Coordinate meetings, diaries, travel arrangements and visitor management for the management and project teams.
- Provide comprehensive administrative support, including document preparation, correspondence, filing and maintaining accurate office records.
- Assist with the preparation, formatting and submission of tender documents, proposals, presentations and other marketing material in accordance with company standards and deadlines.
- Coordinate office supplies, equipment, service providers and facilities to ensure the smooth running of the office.
- Support finance and project administration activities, including processing purchase orders, invoices, expense claims and maintaining project documentation where required.
- Provide general administrative support to HR Manager and the wider business as required.

Qualifications & Experience
Essential
- Qualification in Business Administration, Office Management or a related discipline.
- At least 3 years experience in an office management or senior administrative role within a professional services environment.
- Excellent organisational and time management skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- Excellent interpersonal and customer service skills.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook and PowerPoint.
- A proactive, flexible and positive approach with a strong "can-do" attitude.

Desirable
- Experience assisting with the preparation of tender documents, bids or proposals.
- Experience working within the engineering, construction, architecture or consultancy sectors.
- Knowledge of document management systems would be advantageous.
- Experience and understanding of ISO quality systems.
