Job Description

Maven Collective Marketing, an award-winning digital strategy and partner marketing firm, is looking for a highly organized, proactive, and digitally savvy Marketing Admin Coordinator (Full-Time) to support our team.

You’ll sit at the intersection of digital marketing campaign execution, content, social, operations, events, project coordination, gaining hands‑on experience that will accelerate your career in B2B marketing.

This role is flexible, with a hybrid schedule.

Please note: Only candidates that are available to work in-person in the Greater Vancouver area will be considered for this role.

RESPONSIBILITIES:

Campaign Content & Creative Execution

  • Support execution of digital marketing campaigns across social, email, web, and events
  • Contribute to content marketing initiatives, including blogs, newsletters, website updates, and social posts
  • Draft and edit social media posts, email communications, and marketing copy
  • Manage content calendars, scheduling, and publishing across platforms (e.g. LinkedIn, Instagram, Bluesky, YouTube, etc.)
  • Support campaign setup, QA, and scheduling across platforms
  • Assist in tracking campaign performance, reporting, and insights
  • Contribute to SEO, social, and email marketing execution
  • Create and format presentations, reports, and marketing assets (e.g. PowerPoint, Canva)

Events, Projects & Coordination

  • Support planning and execution of virtual and in‑person events, including logistics and follow‑ups
  • Coordinate project timelines, tasks, and deliverables
  • Maintain organization across SharePoint, Teams, and internal systems to support team efficiency
  • Support internal projects, documentation, and process improvements
  • Contribute to cross‑functional coordination to ensure projects move forward on schedule

CRM, Data & Systems

  • Maintain and update HubSpot CRM, ensuring accurate and complete contact data
  • Manage campaign lists, contacts, and segmentation to support marketing initiatives
  • Assist in preparing reports, analyzing data, and conducting research to inform decisions

Business Development & Executive Support

  • Conduct prospect research and support outreach coordination across email and LinkedIn
  • Manage executive inboxes and calendars, including prioritization, scheduling, and follow‑ups
  • Draft and edit professional communications, presentations, and documents
  • Support day‑to‑day administrative operations to ensure smooth execution of activities
  • Handle sensitive information with discretion and professionalism

WHAT WE'RE LOOKING FOR:

We're not expecting you to arrive knowing everything — we're looking for someone curious, detail‑oriented, and eager to grow. You might be a recent grad, a marketing student, or someone with transferable skills from another field. What matters most is your attitude and your attention to detail.

  • Post-secondary education in marketing, business, communications, or a related field — or equivalent hands‑on experience.
  • Passion for digital marketing and genuine curiosity about the B2B and tech landscape.
  • Excellent organizational and time management skills with the ability to multitask and prioritize.
  • Strong written and verbal communication skills — you can draft a crisp, professional email without a template.
  • Experience in Microsoft 365 suite (Outlook, Excel, Word, PowerPoint, Teams, SharePoint, OneNote, etc.) is required.
  • Experience with B2B social media campaigns (e.g. LinkedIn, Instagram, Bluesky, YouTube, Threads, Facebook) is desired.
  • Knowledge of SEO and SEM, content marketing is an asset.
  • Knowledge of or experience with CMS (e.g. WordPress, Webflow, Hubspot), MAS (e.g. Hubspot, Pardot, Marketo, ActiveCampaign, ClickDimensions, Dynamics Marketing), and CRM (e.g. Dynamics Sales, Hubspot CRM, Salesforce) systems is an asset.
  • Excellent written, verbal, and collaboration skills, native or professional English required.
  • Excellent interpersonal skills and ability to engage a cross‑functional team.
  • Flexible and adaptable in a fast‑moving, entrepreneurial environment.
  • Professional demeanor with the judgment to handle sensitive information responsibly.

  • Campaigns and content are executed on time, on brand, and with strong attention to detail
  • Social and email communications are consistent, accurate, and engaging
  • Events are well‑coordinated with strong execution and follow‑up
  • Executive inboxes are organized, prioritized, and proactively managed
  • Calendar conflicts are minimized and time is optimized
  • Email and LinkedIn communications are handled promptly and professionally
  • CRM data is accurate, organized, and up to date
  • Research and outreach efforts contribute to active business development initiatives
  • Executives feel supported, prepared, and efficient

COMPENSATION

The annual total compensation package for this role ranges from 48,000 to 58,000 CAD. This comprehensive package includes a competitive base salary, performance‑based bonuses, and robust benefits plans.
