About the Partners’ Office
Forvis Mazars’ global partnership model brings together approximately 1,200 partners in a “one partnership” structure built on trust, stewardship and collaboration. The Partners’ Office supports this model by bringing structure, consistency and coordination to partner-related processes across the full partner lifecycle, from onboarding and development to performance, succession and transition.
Role purpose
The Partners’ Office Operations Coordinator provides administrative, operational and coordination support to the Partners’ Office Project Manager, helping ensure the efficient delivery of Partners’ Office activities at Group level.
This is a hybrid position, based in Barcelona, working full-time with the central Partners’ Office team. The role requires a highly organised, responsive and detail-oriented professional able to manage multiple workflows and recurring processes.
Key responsibilities
1. Data, tools and platform administration
Maintain key tracking files and databases, including the partnership pipeline, succession master file, partners’ key details list, programme attendee tracking and annual subsidy inventory.
Administer tools and platforms, including eloomi (by dayforce) and the group LMS, covering user setup, access rights, review processes, user support and reporting extracts.
2. Partner process coordination
Organise and schedule country dialogue interviews, partnership and candidate reviews and other structured partner interactions or events. Track progress, follow-ups and documentation across ongoing processes.
3. Communications and stakeholder coordination
Draft and format professional communications, manage distribution lists and contact databases, coordinate large-scale email communications, and organise incoming replies in a structured and actionable way.
4. Content and deliverables support
Prepare and format PowerPoint presentations, support intranet and internal documentation updates, and ensure consistency and quality across team deliverables.
Profile
We are looking for a reliable, structured and execution-focused professional with strong administrative or coordination experience, ideally in a global or professional services environment.
Key skills and experience:
- Excellent organisation, attention to detail, responsiveness and ability to manage multiple tasks, deadlines and workflows simultaneously.
- Strong written English is essential; French is a plus.
- Proficiency in Microsoft Office, particularly Excel, PowerPoint and Outlook, is required.
- Experience administering learning experience platforms or other SaaS tools is a plus; openness to learn is required.
- Comfortable working remotely and in direct contact with organisational leaders.
