Job Description
SF PEN BCBA (Board Certified Behavior Analyst) The Clinical Supervisor is responsible for managing and supervising the Case Managers of Creative Solutions for Hope (CSH). The role includes consulting with direct supervision and service staff, monitoring staffing and case specifics, and ensuring implementation of protocols in accordance with CSH policies and guidelines. The Clinical Supervisor reports directly to the Clinical Director.
Responsibilities Maintain HIPAA compliance by protecting all client files, including text messages, e‑mail, and phone conversations. Render, lock, and manage schedules and update the NPA Works scheduling system by the end of each work week. Submit monthly source documentation, including supervisory notes, for every billable session on NPA before the due date (typically the 20th of the following month).
Send staff recognition e‑mail messages at least once per month, CC’ing regional management, HR, and the CEO. Attend all scheduled CSH trainings and meetings and demonstrate fluency in company policies. Participate in employee disciplinary action meetings and maintain professional boundaries with staff and clients.
Provide RBT and BCBA supervision to overseeing staff and meet weekly/monthly billable expectations, including a minimum 70/30 direct‑to‑indirect ratio. Ensure the Catalyst electronic data collection system is fully updated with client programming, SOAP notes, and goal tracking. Review and adjust behavior support plans, maintain physical backup logbooks, and conduct new therapist overlaps as required.
Provide feedback to case managers through one‑to‑one sessions, feedback forms, and ongoing communication. Conduct parent consultations at least twice monthly, document data in Catalyst, and resolve parent concerns with a clear action plan. Coordinate care with schools, speech therapy, occupational therapy, and community outings; provide consultation during IEP meetings.
Prepare and submit progress reports, including narratives, baseline/goal data, and assessment tools, and manage revisions until approved. Conduct RBT training, new‑hire orientation, and develop workshops as needed. Respond to all internal communications within 24 business hours and report policy or IT issues immediately to HR or IT.
Maintain a minimum 40‑hour work week with at least 6 billable hours per day, 6 hours per client, and commute to the assigned region and CSH headquarters as directed. Qualifications BCBA certification. Completed the 8‑hour BCBA supervision course per the BACB.
Completed CAQH and insurance credentialing applications and modules. Current CPR or BLS certification. Minimum two years of supervisory/management experience.
Computer literacy: Excel, Microsoft Office, PowerPoint. Physical ability to sit, stand, kneel, walk, bend, twist, and write. Excellent written and verbal communication skills.
Valid California driver’s license and reliable vehicle; must be able to commute to the region’s office. Background check and TB test required. Willingness to work weekends as needed.
