About the Role RFL Wealth is seeking a Project Manager – Operations & Technology to lead strategic operational and technology initiatives that improve advisor efficiency, client experience, and business performance. This individual will work directly with the COO and department leaders to plan, execute, and deliver projects on time while ensuring successful adoption across the organization.
This is a fully remote, six-month contract position. Key Responsibilities Project Management Lead multiple projects simultaneously from planning through implementation. Develop project plans, timelines, milestones, and success metrics.
Coordinate stakeholders across all departments. Track project progress and proactively resolve roadblocks. Provide weekly project status updates to leadership.
Technology Implementation Lead the implementation of Gong AI across the organization. Configure systems, workflows, permissions, and reporting. Coordinate vendor meetings and implementation sessions.
Develop internal documentation and best practices. Train advisors and staff on new technology platforms. AI & Automation Implement AI tools that improve advisor productivity and client experience.
Identify automation opportunities across business operations. Improve internal workflows using AI and technology. Analytics & Reporting Design and implement operational dashboards.
Develop KPIs and reporting for leadership. Improve visibility into advisor performance and operational efficiency. Identify trends and recommend process improvements using data.
Process Improvement Document and standardize operational processes. Create Standard Operating Procedures (SOPs). Recommend efficiencies across departments.
Support CRM optimization and operational workflows. Collaboration Work closely with Operations, Financial Planning, Insurance, Investments, Accounting, Marketing, and Leadership. Facilitate project meetings and follow-up on action items.
Ensure projects are delivered on time and within scope. What We're Looking For · Bachelor's degree in Business Administration, Information Technology, Project Management, Operations Management, or a related field. · 3–5+ years of project management experience, preferably within financial services, wealth management, fintech, or SaaS environments. · Proven experience leading end-to-end implementation of business systems, CRM platforms, or enterprise software. · Experience managing multiple cross-functional projects simultaneously with competing priorities. · Strong understanding of AI tools, workflow automation, and digital transformation initiatives. · Experience implementing or administering platforms such as Gong, Salesforce, Zoho, HubSpot, Microsoft Dynamics, Monday.com, Asana, Jira, or similar business systems. · Demonstrated experience with process mapping, business process improvement, and SOP development. · Strong analytical skills with experience creating dashboards, KPIs, and operational reporting using tools such as Power BI, Tableau, Looker Studio, Excel, or similar platforms. · Experience coordinating software vendors, implementation partners, and third-party stakeholders. · Excellent written and verbal communication skills with the ability to present project updates to senior leadership. · Experience facilitating workshops, user training, and technology adoption initiatives. · PMP, CAPM, Agile, Scrum Master, Lean Six Sigma, or Prosci Change Management certification is considered a strong asset. Fully remote. · Hours of work : o Standard workweek of 40 hours. o Overtime, where applicable, will be compensated in accordance with the Ontario Employment Standards Act (ESA). · This role is an incremental addition to the existing team, with high ownership and visibility, created to support the company’s growth objectives.
