Job Title: Senior Executive / Assistant Manager โ€“ Facilities & Administration Department: Corporate Services Location: Bengaluru Employment Type: Contract Reporting To: Senior Manager Role Purpose The Senior Executive / Assistant Manager โ€“ Corporate Services will support the smooth day-to-day management of workplace operations and employee services.

The role will be responsible for coordinating key facility services including transport, housekeeping, inventory, events, vendor management and general administration, ensuring a safe, efficient and employee-friendly workplace. Key Responsibilities Transport Management Manage daily employee transport operations, including cab scheduling, route coordination, vendor follow-up and employee queries. Ensure adherence to transport SOPs, safety standards and service-level expectations.

Track vehicle utilisation, billing, attendance, trip data and service performance. Coordinate with transport vendors for escalations, driver compliance, vehicle quality and timely service delivery. Support transport-related audits, reports and cost optimisation initiatives.

Housekeeping & Facility Operations Oversee housekeeping services and ensure office cleanliness, hygiene and upkeep standards are maintained at all times. Conduct regular floor walks and inspections to identify and close gaps related to housekeeping, washrooms, pantry, meeting rooms and common areas. Coordinate with vendors for manpower deployment, consumables, deep-cleaning schedules and corrective actions.

Ensure adherence to workplace safety, hygiene and statutory requirements. Inventory & Asset Management Maintain accurate inventory records for stationery, pantry supplies, housekeeping consumables, welcome kits and other workplace materials. Monitor stock levels, initiate replenishment requests and ensure optimum inventory availability.

Conduct periodic stock audits and reconcile physical inventory with records. Support procurement, PO processing, invoice validation and vendor documentation as required. Employee Engagement & Event Management Plan and execute employee engagement activities, celebrations, townhalls, wellness initiatives and other workplace events.

Coordinate with internal stakeholders, vendors and volunteers to ensure seamless event execution. Manage event budgets, logistics, collateral, registrations, feedback and post-event reports. Bring in creative ideas to enhance employee experience and workplace engagement.

Vendor & Stakeholder Management Coordinate with facility service vendors including housekeeping, transport, pantry, security, event agencies and suppliers. Track vendor performance, attendance, invoices, service quality and compliance requirements. Maintain strong working relationships with employees, business stakeholders and cross-functional teams.

Handle employee concerns and service requests with timely resolution and professional communication. Reporting, Compliance & Administration Prepare MIS reports on transport, housekeeping, inventory, events, vendor performance and operational expenses. Maintain relevant SOPs, checklists, service records, audit documents and compliance trackers.

Support workplace audits, safety drills, business continuity activities and facility inspections. Identify opportunities for process improvement, automation and cost optimisation. Experience & Preferred Background Senior Executive: Minimum 5 years of relevant experience in facilities, administration or workplace services.

Assistant Manager: 8 to 10 years of relevant experience in managing workplace operations, vendors and employee services. Experience in corporate facilities, IT/ITES, coworking, hospitality or large office environments will be preferred. Candidates with hands-on experience in transport, housekeeping, inventory management, vendor coordination and event execution will be preferred.

Key Skills & Competencies Strong knowledge of transport, housekeeping and facility operations. Good vendor-management and negotiation skills. Strong planning, coordination and event-management capabilities.

Proficiency in MS Excel, PowerPoint and MIS reporting. Ability to manage multiple priorities in a fast-paced environment. Good communication, stakeholder-management and problem-solving skills.

High ownership, attention to detail and service-oriented mindset. Knowledge of workplace safety, hygiene standards and basic compliance requirements is preferred. Success Measures Smooth and compliant transport operations with minimal employee escalations.

Consistent housekeeping and workplace hygiene standards. Accurate inventory management with controlled wastage and timely replenishment. Successful execution of employee events within approved budgets.

Strong vendor performance, timely invoice processing and accurate MIS reporting.
