Position: Administration & Procurement Manager Location: Gurugram, Udyog Vihar, Phase -4 Experience: 7-10 Years CTC: 7-9 LPA Role Overview We are looking for an experienced Procurement & Admin Manager to oversee office administration, procurement activities, vendor management, facility operations, and employee support functions.

The ideal candidate will ensure smooth day-to-day operations, cost-effective procurement, efficient vendor coordination, and a well-maintained workplace environment. Key Responsibilities Procurement & Vendor Management Develop and implement procurement strategies to optimize cost, quality, and service. Source, evaluate, negotiate, and manage vendors and suppliers.

Process purchase orders and ensure timely procurement of office and operational requirements. Maintain vendor contracts, agreements, and performance records. Identify cost-saving opportunities while maintaining service quality.

Office Administration & Operations Oversee daily office operations to ensure a productive and well-maintained workplace. Manage office maintenance, repairs, housekeeping, and facility-related services. Coordinate with external service providers, including internet, courier, security, and equipment maintenance vendors.

Ensure smooth functioning of office infrastructure and utilities. Implement and maintain office policies, procedures, and administrative controls. Inventory & Asset Management Monitor and maintain inventory of office supplies, stationery, pantry items, and other administrative requirements.

Ensure timely replenishment of stock to avoid operational disruptions. Maintain records of company assets and coordinate asset allocation and tracking. Communication & Logistics Serve as the primary point of contact for administrative queries, visitors, and external stakeholders.

Manage incoming and outgoing correspondence, courier services, and office communications. Coordinate travel bookings, accommodation, and logistics for employees and management when required. Documentation & Data Management Maintain organized digital and physical filing systems.

Manage procurement records, vendor documentation, contracts, invoices, and compliance-related documents. Ensure accurate record keeping and easy retrieval of information. Financial & Administrative Support Process vendor invoices and coordinate with the finance team for timely payments.

Manage petty cash, expense tracking, and administrative budgets. Prepare MIS reports related to procurement, administration, and vendor performance. Employee Engagement & Event Management Plan and coordinate company events, employee engagement activities, town halls, off-sites, celebrations, and annual gatherings.

Manage event logistics, vendor coordination, budgets, and execution. Support initiatives that enhance workplace culture and employee experience. Required Qualifications & Skills Bachelor's degree in business administration, Commerce, Supply Chain Management, or a related field. 7-10 years of experience in administration, procurement, facilities management, or a similar role.

Strong vendor management and negotiation skills. Excellent organizational and multitasking abilities. Proficiency in MS Office, especially Excel, and ERP systems.

Strong communication, problem-solving, and stakeholder management skills. Ability to manage multiple priorities in a fast-paced environment. Preferred Industry Experience FMCG, Beauty, Cosmetics ,Retail, Consumer Goods, or related industries.
