This position is primarily based at County Hall, Chelmsford, with limited opportunities for remote working. Occasional travel may be required to attend Halstead Resource Centre and other service-related events.

We are seeking a highly organised and proactive Team Administrator - Supervised Family Time Team, known internally as a Logistics Coordinator to join our Supervised Family Time Team.
This pivotal role is responsible for coordinating supervised family time arrangements, ensuring that referrals from Social Workers are translated into safe, timely and effective contact sessions between children and their families. You will play a key role in managing the logistical planning of family time arrangements, identifying suitable venues, arranging transport, allocating Supervised Family Time Workers, and ensuring that all arrangements meet safeguarding requirements and service timescales.
The successful candidate will be confident in managing multiple priorities, solving complex logistical challenges, and working collaboratively with a range of professionals, families, and external providers to achieve the best possible outcomes for children.
Accountabilities
- Coordinate and allocate supervised family time referrals within five working days, ensuring timely service delivery.
- Assess referrals and allocate cases to internal staff, agency workers or external providers based on availability, geographical location, risk, cost, and level of support required.
- Source and book appropriate venues that provide a safe, child-friendly environment while meeting safeguarding requirements.
- Coordinate transport arrangements where required to ensure children and families can access supervised family time sessions.
- Collate, manage, and distribute referral information, performance data and management reports to practitioners and senior leaders.
- Gather, collate, and maintain weekly statistical and performance information, producing accurate reports for managers to support service monitoring and continuous improvement.
- Ensure relevant risk assessments and safeguarding information are shared with appropriate venues and supervising staff.
- Act as a key point of contact for Social Workers, supporting understanding of referral processes and identifying practical solutions to logistical challenges.
- Monitor expenditure and provide budget information and trend analysis to support effective financial management and value for money.
- Build and maintain positive working relationships with Social Workers, Family Care Workers, Supervised Family Time Workers, schools, families, venues, and external agencies.
- Gather and analyse feedback from children, families, and professional stakeholders to support service improvement and development.
The Experience You Will Bring
Essential
- Educated to RQF Level 2 (GCSE) or equivalent qualification, or able to demonstrate relevant equivalent experience.
- Experience of coordinating logistics, scheduling, or operational activities, with strong organisational skills and the ability to manage competing priorities and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to build effective working relationships with professionals, children and families and deliver a professional, customer-focused service.
- Understanding of supervised family time services and knowledge of administrative processes, resource allocation, and financial procedures to support effective service delivery.
Desirable
- Good IT skills, including proficiency in Microsoft Office applications and an understanding of data protection requirements.
- Experience of building effective working relationships, influencing stakeholders and negotiating positive outcomes.
- Knowledge of Children's Social Care services, operational processes, and the wider support network available to children and families.
- Evidence of continuing professional development and good geographical knowledge of Essex.
The role requires you to be mobile throughout a wider operational area including travelling around the county of Essex and beyond, transporting service users and their belongings and to be able to do so in an emergency. Driving licence and car or the ability to meet the mobility requirements of the role through other means is essential.
