Staffing Coordinator / Scheduler (Experienced)

We are seeking a highly organized and experienced Staffing Coordinator / Scheduler to provide critical administrative and operational support for a prominent medical facility in Burlingame. This role involves coordination of daily and long‑range staffing needs within a fast‑paced clinical environment.

Base pay range

$25.00/hr - $30.00/hr

Position Type: Full-Time, Healthcare Operations
Compensation: $25.00 - $30.00 per hour (Dependent on Experience)

Required Experience (Strictly Required)

  • Healthcare Scheduling Expertise: Proven experience as a Staffing Coordinator or Scheduler specifically within a healthcare/clinical setting.
  • System Proficiency: Mandatory, hands‑on experience using Kronos and Clairvia for workforce management.
  • Multi‑Unit Support: Experience managing and supporting staffing for multiple units or diverse clinical specialties.
  • Technical Accuracy: Strong attention to detail regarding scheduling accuracy and payroll‑related processes (timecard coding).
  • Communication: Effective written and verbal communication skills to interact with medical staff and leadership.
  • Adaptability: Ability to manage competing priorities and thrive in a high‑pressure healthcare environment.

Key Responsibilities

  • Workforce Management: Utilize Kronos and Clairvia systems for real‑time scheduling, staffing adjustments, and long‑range workforce planning.
  • Schedule Development: Create and maintain master schedules to ensure appropriate resource coverage across clinical departments.
  • Resource Allocation: Efficiently allocate staff to address shortages, census fluctuations, and operational challenges.
  • Payroll & Compliance: Review/process time‑off requests, monitor payroll trends, and ensure accurate timecard coding in accordance with labor standards.
  • Collaboration: Communicate effectively with healthcare providers and department leadership to resolve scheduling conflicts and gain staff cooperation.
  • Regulatory Alignment: Ensure all scheduling practices comply with local, state, and federal regulations, and organizational policies regarding privacy and safety.
  • Onboarding Support: Assist with the orientation or training of new department staff regarding scheduling protocols as needed.

This is an onsite position located in Burlingame, CA.
