Purpose of the post To make a major contribution to the management and administration of the Academy site and buildings and to manage and develop those physical resources which support the staff of the school, thereby enabling them to provide a high‑quality education in line with the Academy Aims. Key Responsibilities Contribution to the preparation of premises aspects of the annual budget; and management of day‑to‑day maintenance, cleaning and janitorial services within the given budget.

Property and site management, including management of cleaning staff, monitoring maintenance and decoration of buildings, upkeep and appearance of the site, site security arrangements, and statutory testing. Ensure a satisfactory physical environment. Secure building, contents and grounds.

Provision of access to the building and grounds to authorised persons at all reasonable times. Maintain constant awareness of the physical condition of the grounds, buildings and furniture, taking appropriate steps to ensure maintenance and repairs where necessary. Carrying out maintenance and repairs to the building and furniture within the scope of a competent handyperson; ensure the grounds are kept clean and tidy.

Work towards monitoring the operating costs of the grounds, buildings and associated resources. Porterage duties as required, particularly laying out furniture and other equipment for timetabled activities without direct instruction. Miscellaneous duties of a practical nature as circumstances demand, or at the reasonable request of the Headteacher or School Business Manager.

Plan own workload to meet the requirements of the school and carry out normal supervisory duties. Monitor the standards of cleaning of the building and the upkeep of the grounds. Maintain regular contact with the staff of the school and contractors.

Where applicable, carry out some cleaning work to cover cleaners’ absences and assist with any cleaning duties to meet the requirements of the Academy. In conjunction with Senior Management, plan and operate routine security arrangements to prevent/deter unauthorised access to the site and buildings and minimise theft and vandalism. Maintain a register of keys issued on the instructions of the Headteacher.

Unlock gates and entrance doors, check as far as possible that the grounds and premises have not been disturbed; switch on lights and open windows. At the end of the day, walk around premises, check that windows are closed, lights are switched off, and internal doors are locked; lock external doors and gates as required. Provide such access to the school as may reasonably be required outside normal hours of opening, including access in the event of flood, snow or other emergencies.

Carry out maintenance and repairs to property, fixtures, fittings and furniture, minor improvement jobs and internal decorating, where work is within the capabilities of a competent handyperson. Notify the School Business Manager by completing relevant documentation or otherwise, to any repairs or maintenance work beyond the competence and responsibility of the Academy’s staff. Direct workmen and contractors to the site of repair and maintenance work and inspect contractor work where a satisfaction note is required.

Replace light bulbs, fluorescent tubes etc. Carry out routine procedures and inspection of ancillary equipment such as pumps, batteries, window blinds etc. Ensure all drains and gullies are free‑flowing and clean; clear blockages where they occur.

Ensure all caretaking and cleaning equipment is safe and in working condition. Open the heating plant so required temperatures are maintained and an adequate supply of hot water is available; carry out frost protection procedures, clean flues, filters, etc. according to procedures. Work towards monitoring the usage of energy, keeping records of consumption and identifying trends.

Follow procedures laid down for monitoring the operating cost of the building and associated resources. Maintain records of consumption of standard lists of consumable items and of expenditure on a further range of items. Prepare for Academy and after‑Academy activities, clear and (in specific circumstances) clean up after these activities within normal hours, including lettings and community use.

Lay out and stack chairs, desks and tables; move them within the Academy, setting out furniture for events. Take responsibility for delivery of stores, materials and other goods; sign for, store and/or move them within the Academy as required. Carry out procedures in the event of fire, flood, break‑in accident or major damage.

Ensure all hard areas, grassed areas, beds, borders and grounds are free from litter and excessive accumulations of dirt and rubbish. Empty litter baskets and bins; dispose of all rubbish and maintain cleanliness of dustbin areas. Perform emergency cleaning in the absence of cleaning staff, e.g. spillages of paint, children being sick, etc.

Replenish soap, toilet rolls, sanitary goods and towels. Take appropriate remedial action or report working practices or unsafe conditions that contravene the Health & Safety at Work Act and the Fire Precautions Regulations. Plan work allocation for self and cleaners subject to the requirements of the Academy, giving guidance to cleaners in all aspects of their work; carry out normal supervisory duties, maintaining a good working atmosphere, encouraging team spirit, ensuring good time‑keeping, dealing with grievances and problems and seeing that work is done correctly.

During periods of Academy closure, perform cleaning work that becomes necessary, including the use of stepladders in accordance with Governors guidelines and other non‑routine cleaning. Any other duties commensurate within the grade to ensure the smooth running of the school as directed by the Headteacher.
