Job Description

We have an exciting opportunity for a Site Admin / Document Controller to join Suir Engineering. This position will be based on a Pharmaceutical project in Rathdrum, Co Wicklow.

Overall Role Objective

The Document Controller is responsible for creating, maintaining, distributing, and filing all central integrated management system documentation and ensuring all QA department administration work is completed.

What you will be doing?

Site Administrator Duties

  • Provide daily administrative support to the site, project and management teams, assisting with the smooth day-to-day running of the site office. Including maintaining accurate records, trackers and documentation relating to site personnel, training, attendance, deliveries, expenses and general site administration.
  • Manage weekly reviews of timesheets and attendance records, including system control, daily attendance updates and required attendance uploads.
  • Manage and coordinate site inductions, including booking and maintaining accurate induction records.
  • Book and coordinate site deliveries, maintain accurate delivery records, upload delivery dockets and supporting documentation, and support the organisation of incoming and outgoing deliveries.
  • Provide EHS administrative support, including the organisation, filing, distribution, maintenance and secure disposal of EHS and other confidential documentation.
  • Assist with the management and organisation of site office supplies, including monitoring stock levels.
  • Assist with accommodation and transport arrangements for direct staff and site personnel.
  • Liaise with site personnel, subcontractors, suppliers and management to ensure all administrative requirements are completed accurately and efficiently.
  • Ensure confidential and sensitive documentation is securely stored, handled and disposed of in accordance with company procedures.
  • Any other reasonable and relevant duties as requested by your manager, necessary to meet the ongoing needs of the company.

Document Controller Duties

  • Manage and coordinate all IMS documentation with the QA team and various stakeholders.
  • Ensure the various prints of procedures and documents are kept up to date and maintained for record purposes.
  • Develop and revise policies, procedures and document templates that align to the corporate architecture.
  • Responsible for the timely, accurate and efficient management and implementation of documents including access and revision control.
  • Maintain the correctness and completeness of text, artwork, and items in all documents for both paper and online documentation.
  • Monitor and periodically report metrics of usage, document status, and released/obsolete documents in the IMS.
  • Work closely with subject matter experts, engineering project teams, support teams, and other stakeholders to create, maintain and approve high-quality documentation.
  • Participate and comply with Integrated Management System (IMS) requirements.
  • Control the IMS change management process and issue change notifications.
  • Use Construction Management Software for the management of documentation.
  • Support site personnel with the distribution of relevant IMS documentation.
  • Support site personnel with the set-up and operation of construction management software.
  • Organise all QA department documentation.
  • General administration and office-based duties.
  • Any other reasonable and relevant duties as requested by your manager, necessary to meet the ongoing needs of the company.

Is this the job for me?

The Suitable Candidate must have a minimum of 3 years experience working in Document Control.

  • Administration experience essential.
  • Experience in the construction industry is an advantage but not essential.
  • High level of attention to detail.
  • Ability to communicate with Management and site-based personnel.
  • Capable of multi-tasking and meeting deadlines.
  • Ability to use your initiative.
  • IT Skills - A high level of proficiency with Microsoft Office applications (Word, Excel, Visio, PowerPoint) and in Adobe Acrobat Pro DC.
  • Experience in Construction Management Software (E.g. EIDA, BIM 360, Procore) would be an advantage.
  • Knowledge of layout and design principles preferred.
  • Must be prepared to upskill where necessary, with CPD in terms of new software or industry procedures particularly relevant.
  • Experience of ISO 9001:2015 would be advantageous.
