Shipping & External Warehouse Administrator (Fixed Term)

About the Role

We are seeking a Shipping & External Warehouse Administrator to join our Site Supply Chain team. Reporting to the Shipping & External Warehouse Supervisor, you will play a key role in supporting shipping operations, inventory movements, and external warehouse activities, ensuring products are delivered to customers safely, compliantly, and on time. Working closely with Supply Chain, Warehouse, Planning, Manufacturing, Quality, Customer Service, Finance, and external logistics partners, you will support the day-to-day execution of shipping plans, manage logistics documentation, maintain inventory accuracy, and help resolve operational issues to ensure a high level of customer service.

Key Responsibilities

  • Support the execution of shipping plans to ensure customer orders are delivered in line with business priorities and service requirements.
  • Prepare, review, and maintain shipping documentation and system transactions in accordance with site procedures and quality standards.
  • Coordinate with external warehouse providers, freight forwarders, carriers, and logistics partners to support shipment planning, dispatch activities, and delivery performance.
  • Monitor customer order status, inventory availability, shipment progress, and potential delays, escalating issues where required.
  • Support inventory movements, stock reconciliations, order processing, and documentation activities relating to external warehouse operations.
  • Ensure shipments are processed in line with approved stock availability, customer requirements, and site inventory objectives.
  • Support the timely resolution of shipping, logistics, inventory, and customer service issues.Maintain and update controlled documentation, SOPs, work instructions, forms, and other quality system records.
  • Support performance reporting through the preparation of KPI and operational metrics.
  • Participate in audits, investigations, continuous improvement initiatives, and process improvement activities.
  • Ensure all activities are conducted in compliance with GMP, GDP, EHS, Quality Management System requirements, and site procedures.

About You

We are looking for a highly organised individual with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.

Essential

  • Experience in shipping, warehousing, logistics, customer service, administration, planning, or supply chain operations within a manufacturing environment.
  • Understanding of shipping documentation, order processing, inventory transactions, and logistics administration.
  • Experience working within SOP-driven and compliance-focused environments.
  • Strong communication and stakeholder management skills, with the ability to collaborate effectively across functions and with external partners.
  • Good analytical and problem-solving skills.
  • Strong IT skills, including Microsoft Excel and experience using ERP or business systems.

Preferred

  • Experience within pharmaceutical, consumer healthcare, FMCG, medical device, or another regulated manufacturing environment.
  • Experience using SAP ECC, SAP S/4HANA, warehouse management systems, or logistics platforms.
  • Familiarity with external warehouse operations, freight forwarders, and third-party logistics providers.
  • Knowledge of GMP, GDP, Quality Management Systems, controlled documentation, and regulated distribution activities.
  • Experience supporting audits, deviations, CAPAs, continuous improvement initiatives, or quality system processes.
  • Qualification in Supply Chain, Logistics, Business, or a related discipline.
