About the Role
We are looking for an organised, enthusiastic, and customer-focused Reservations & Customer Service Coordinator to join our tight team based in our O'Connor Depot.
We require between 26-40 hours per week, based across 4-5 weekdays.
This is a varied role where you'll be responsible for managing reservations, assisting customers with tour enquiries, and ensuring the smooth day-to-day operation of our reservations office. You'll be the first point of contact for many of our guests, making a positive and lasting impression.
The Role has a number of secondary projects to engage with outside of Customer Service. For an interested applicant there is also tour guiding and hosting opportunities.
Reservations Key Responsibilities
- Manage tour bookings and and customer records
- Respond promptly to customer enquiries by phone and email
- Process bookings, payments, amendments, and cancellations
- Provide accurate information on tours and travel services
- Manage relationships with private groups from initial enquiry through to confirmed booking
- Prepare and manage group travel contracts and agreements
- Liaise with tour guides and operations staff to ensure seamless service
- Assist with general office administration
- Deliver exceptional customer service at every interaction
Secondary Project Responsibilities
- Identify and establish new partnerships within retail, travel, clubs, community and other local organisations to increase brand awareness and generate new bookings.
- Actively seek opportunities to promote our tours through presentations, networking events, travel expos, and community engagement activities.
- Identify opportunities to improve profitability and reduce operating costs.
- Represent the company at industry events and networking opportunities
- Guide local and interstate tours (optional)
About You
- Strong attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines
- Excellent time management and the ability to prioritise completing tasks, especially during busy periods
- Strong communication skills and the ability to build positive relationships
- Previous experience in the travel or tourism industry would also be beneficial.
- Confidence using computer systems, Microsoft Office, and accounting software
- A positive attitude and the ability to work both independently and as part of a team
