Job Description

Contract Position Title: Property Manager

Position Type: Full-Time.

Reports To: Operations Manager & Portfolio Manager.

Compensation: $1000 + commissions.

Education Requirement: Bachelor’s degree in communications, marketing, business administration, or related field.

Language Requirement: Advanced English & Spanish.

Materials Needed: Personal computer, MS Office, high-speed internet, WhatsApp.

Experience: 2 years in a professional setting, Google Products & MS Office experience,

POSITION ROLE & RESPONSIBILITIES

Portfolio management for at least 125 properties.

Listings & Marketing

  • Collect and organize property photos from Field Operators.
  • Prepare basic market comparisons to help landlords set competitive rates..

Lead Management & Communication

  • Track and screen incoming leads across phone, email, and social media.
  • Keep tenants and landlords updated on inquiries, visits, and listing performance proactively.

Scheduling & Coordination

  • Coordinate property visits, showings, and inspections with Field Operators.
  • Arrange tenant walkthroughs, repairs, and general visits.
  • Support Property Managers by scheduling lease-renewal inspections and coordinating the renewal process.

Application Processing

  • Assist Property Managers by reviewing rental applications, collecting documents, and performing initial screenings.
  • Compile application summaries for property owners and notify the CFO when recommendations are needed.

Leasing & Tenant Onboarding

  • Set up tenant profiles, onboard residents to the Resident Center, and collect initial payments (e.g., security deposit, first month’s rent).
  • Assist Property Managers by preparing and sending leases for e-signatures.

Maintenance Coordination

  • Track and schedule maintenance requests from the Resident Center, SMS, or phone calls.
  • Update landlords on issues, schedule technicians, and coordinate tenant access.
  • Troubleshot basic maintenance questions and manage large-scale tenant communications (filters, landscaping, prevention tasks).
  • Record contractor invoices and update service-related financials.
  • Manage massive communications with tenants regarding maintenance tasks (e.g., filter replacements, landscaping, winter prevention).

System Implementation & Calendar Management

  • Assist in the setup and integration of new systems (e.g., LeadSimple, ZInspector).
  • Manage technicians' calendars to ensure efficient scheduling.
  • Increase tenant adaptability and engagement with Buildium (Resident Center).

Delinquency Management & Landlord Updates

  • Monitor unpaid balances, send reminders and notices, and support payment-plan coordination.
  • Collaborate with accounting to ensure accurate delinquency tracking and reporting.

Additional Property Manager Support

  • Assist with the lease renewal process, including documentation and communication.
  • Support Property Managers in processing security deposit reimbursements, ensuring files and updates are handled correctly.

WORK DAY:

9:00 am to 6:00 pm EST (1 hour lunch break), Monday through Friday.
