Our client is a well-established property organisation with a diverse portfolio of residential and commercial properties. Due to continued growth, they are seeking an organised and proactive Property Administrator to join their team and support the effective management of their property portfolio.

Your New Role

As Property Administrator, you will provide comprehensive administrative support across both property and facilities management functions. The role will involve coordinating utility accounts, maintaining compliance records, managing contractor documentation, and supporting planned and reactive maintenance activities across multiple responsibilities will include:
Property Administration

  • Providing administrative support to the Property and Facilities Management team.
  • Maintaining accurate property records, tenancy documentation and digital filing systems.
  • Preparing property reports, correspondence and related documentation.
  • Monitoring service contracts and ensuring all supporting documentation remains up to date.
  • Scheduling inspections, maintenance visits and contractor appointments.

Utilities Management

  • Managing utility accounts across multiple properties, including electricity, gas, water, telecoms and waste services.
  • Coordinating utility connections, disconnections, meter exchanges and account transfers.
  • Liaising with utility providers to resolve billing queries, supply issues and account discrepancies.
  • Monitoring utility consumption and identifying opportunities for cost savings and efficiencies.
  • Maintaining accurate records of utility suppliers, account details, meter readings and contract renewal dates.
  • Supporting the procurement and renewal of utility contracts to ensure continuity of service.

Facilities Management Support

  • Coordinating Planned Preventative Maintenance (PPM) schedules.
  • Raising and monitoring reactive maintenance requests through to completion.
  • Liaising with contractors to arrange works and ensure service level agreements are achieved.
  • Maintaining health and safety records, risk assessments, compliance certificates and statutory inspection documentation.
  • Monitoring contractor performance and ensuring insurance and certification records remain current.
  • Supporting facilities projects, refurbishments and office moves where required.

What You'll Need to Succeed

To be successful in this role, you will have previous experience in a Property Administrator, Facilities Administrator or Property Management support position. You will possess strong organisational skills and be capable of effectively managing multiple priorities while maintaining a high level of accuracy.

You will also demonstrate:

  • Experience managing utility accounts and dealing directly with utility providers.
  • Strong facilities management and maintenance administration experience.
  • Excellent document management and administrative skills.
  • Strong communication and stakeholder management abilities.
  • Proficiency in Microsoft Office, particularly Excel, Outlook and Word.
  • A proactive and customer-focused approach with excellent attention to detail.

Desirable experience includes:

  • Experience within commercial or residential property management.
  • Knowledge of Planned Preventative Maintenance (PPM) processes.
  • Understanding of contractor management and service charge administration.
