Job Description

The Property Manager reports to the Director, Associate Director, or Portfolio Manager and executes on all aspects of the management services delivery for the assigned corporate-occupier facility or portfolio. The individual in this position will supervise facilities, property staff, vendors and support with the operations and financial responsibilities of the managed assets or buildings. Relationship building with client corporate real estate representatives and all occupiers is required to quickly solve issues that may arise and achieve the highest levels of client satisfaction.

The base salary is aligned with market data and is estimated between $110,000 to $140,000 with the ability to achieve additional compensation through bonus. This salary range reflects base compensation for the position across all US locations. Within this range, individual pay is determined by work location and other factors including relevant education/training, experience, and internal equity.

Responsibilities Manage a building or a portfolio of buildings and the teams responsible for the operations and maintenance. Maintain a strong relationship and regular interaction with Corporate Real Estate Representatives/Client to ensure that objectives are being met. Act as Single Point of Contact with a direct line relationship with the Client Corporate Real Estate Director of Facilities.

Support and develop the planning, budgeting, and control of operating and capital expenditures. Administer and prepare annual budgets, forecasts, monthly reports, and variance reports. Respond to tenant requests and coordinate with Management and Building Staff Teams to resolve the issues.

Monitor and enforce the terms of all lease agreements, the billing and collection of rents and other tenant charges in compliance with leases. Responsibilities include all aspects of lease administration, including critical date master scheduling, lease notification and renewal notices. Supervise and assist with expenditure control, accruals, accounts payable, and collection of any subtenant rents, common area maintenance estimates and true‑ups, in compliance with lease terms.

Respond to user or occupier requests and coordinate with Facilities Management and Engineering teams to resolve the issues. Drive Avison Young service delivery to achievement on all performance metrics and Key Performance Indicators (KPI) for Facilities Management (work order SLAs, Financial, customer satisfaction, etc.). Oversee the selection and performance of vendor services, including management of sourcing and procurement process for all service contracts such as janitorial, HVAC/mechanical, elevator/escalator, fire/life safety, pest control, carpet maintenance, and metal/marble maintenance.

Recognize opportunities to reduce expenses through contract negotiations and leveraging Avison Young national‑supplier discount programs. Monitor vendor performance to ensure compliance with the standards established in the service agreement. Manage and supervise facilities staff, including oversight of scheduling and facilitating maintenance with engineers and third‑party vendors.

Perform property inspections regularly and make recommendations to maintain and enhance the asset. Maintain and support the compliance of property safety standards and building codes. Assist in the Fire and Life Safety training and maintain the building emergency response plans and procedures, along with its related documentation of compliance.

Document and track all certificates of insurance from vendors and tenants. Prepare correspondence and memos to occupiers and vendors. Establish and maintain positive relationships with internal and external personnel and vendors.

Support and provide leadership in a commitment to achieve AY and client expectations for service and business objectives. Consistently uphold and apply the company’s policies regarding appropriate professional behavior to ensure that the values of the firm are exhibited by the actions of the staff. Keep current on all developments in the local commercial real estate market affecting the current or potential value of the portfolio.

Perform other related duties as requested. Education and Work Experience Bachelor’s Degree, preferably in business, real estate, or finance. Commercial Real Estate Coursework and CPM or RPA designation a plus.

Candidate will possess four to seven years related experience. Strong understanding of commercial real estate, financial terms and principals and can analyse and conduct complex financial and business decisions. Proven record of providing excellent internal and external customer service.

Knowledge and Skills Ability to effectively resolve situations or complaints from tenants, employees, or management. Proficient in Microsoft Word and Excel. Experience with Jenark, Yardi, MRI software and Kardin budgeting package a plus.

Ability to express ideas clearly in written and verbal communications, with the capability to create complex financial and business‑related documents. Strong time management and organizational skills; must be detail oriented. Knowledge of federal, state, and local codes and ordinances pertinent to facilities planning, design, construction, and maintenance. #J-18808-Ljbffr
