Job Description - Project Associate (260000Y5)
Project Associate will coordinate projects as needed in conjunction with the Program Director/Manager. Coordinate programmatic services leading to the support of training programs, and provide general office administration support to the Division. Manage administrative tasks involving various hospital systems on behalf of the Division for financial transactions, HR, software tracking, scheduling and other logistical coordination.
Qualifications
- Minimum Education: Bachelor’s Degree (Required)
- Minimum Work Experience: 2 years Project coordination (Required)
- Required Skills/Knowledge: Demonstrated ability to simultaneously perform multiple assignments, detail oriented with excellent organizational skills, strong experience in Microsoft Word, PowerPoint and Excel, understanding of databases, solid writing, editing, and analytic skills, ability to adhere to deadlines, prior research experience, understanding time management and supervised independence, interface with faculty, trainees, and employees on a professional level, ability to grow with software innovations and provide technological solutions, willingness to assist when necessary.
Functional Accountabilities
Project Management
- May be required at times to manage several high‑level and time‑sensitive projects concomitantly requiring excellent time‑management ability.
- Provide a resource environment for faculty, trainees and other employees for academic pursuits through research and by providing materials which assist faculty and staff in academic endeavors.
- Plan, promote, execute, complete, and debrief projects in consultation with the Manager to maintain a sense of ownership and pride.
- Attend project meetings when appropriate.
- Provide assistance to newly created projects as requested.
Administrative Support
- Assist program director with management of office activities associated with program.
- Interact with web developer on maintenance of web‑based information sharing and informatics; may assist with external website maintenance and upkeep.
- Perform duties ensuring successful and comprehensive completion of multi‑functional projects; various tasks beyond simple office management.
- Answer phones, respond to general email inquiries, copy, fax, distribute mail, protect office records, file, and other duties.
- Prepare documents, purchase supplies and office equipment.
- Maintain familiarity with accounting procedures.
Customer Relations
- Serve as a bridge between other professionals and CRI/CNMC faculty and staff.
- Maintain a friendly, solution‑oriented, creative attitude, especially in dealing with difficult personalities.
- Interface with others to coordinate and facilitate solutions with internal and external stakeholders.
Safety
- Speak up when team members appear to exhibit unsafe behavior or performance.
- Continuously validate and verify information needed for decision making or documentation.

- Assist Division staff with scheduling of meetings and conference room logistics as needed.
- Maintain Executive Director’s calendar, schedules and appointments without prior approval based on knowledge of manager’s responsibilities and issues of importance.
