About This Role

As Program Coordinator β€” AI & Delivery, you will sit at the intersection of client delivery, engineering execution, and stakeholder communication. You will take client inputs and translate them into structured, actionable briefs for the engineering team. You will manage delivery timelines, track progress, and ensure nothing falls through the gap between a conversation and an execution.

You will report directly to the CEO and work closely with the Principal Engineer on a day-to-day basis.

This is not a coordination role. It is an ownership role. If something is unclear, you clarify it. If something is at risk, you flag it. If something is falling behind, you fix it or escalate it, before anyone has to ask.


Key Responsibilities

Requirement & Client Management

β€’ Own the end-to-end process of translating client inputs into structured, actionable requirements for the engineering team

β€’ Run or support requirement gathering conversations with clients β€” ask the right questions, document precisely, and eliminate ambiguity before it reaches engineering

β€’ Maintain a living requirements log that serves as the single source of truth for the tech team, sales team, and leadership

β€’ Manage client communication on delivery timelines, progress, and changes β€” proactively, not reactively

β€’ Coordinate with clients on feedback, UAT, and sign-off for deliverables

Engineering Coordination

β€’ Work directly with the Principal Engineer to prioritise, scope, and sequence work across active projects

β€’ Translate business and client requirements into engineering-digestible briefs β€” clear problem statements with context, constraints, and acceptance criteria

β€’ Track engineering progress against commitments and flag risks early β€” before deadlines are missed

β€’ Own the feedback loop between engineering output and client expectations

β€’ Be the gatekeeper for new requests β€” filter, prioritise, and protect the tech team from unnecessary context-switching


Stakeholder Management

β€’ Manage competing inputs from sales, marketing, and leadership β€” consolidate, prioritise, and push back where necessary

β€’ Run structured stand-ups or equivalent touchpoints to maintain team alignment

β€’ Maintain visibility trackers that give leadership a clear picture of what is in progress, what is at risk, and what is done

β€’ Represent delivery status accurately β€” not optimistically


Process & Documentation

β€’ Build and maintain the operational infrastructure of the delivery function β€” templates, trackers, communication formats, and handoff protocols

β€’ Document decisions, not just outcomes β€” there must always be a written record of why something was built a certain way

β€’ Identify process gaps and address them before they become delivery problems


Requirements

Must Have

β€’ 2+ years of experience in a TPM, delivery management, business analyst, or program coordination role

β€’ Demonstrated experience working between technical and non-technical stakeholders β€” you can speak engineering without being an engineer, and you can speak business without losing the technical thread

β€’ Strong written communication β€” your requirement documents, client updates, and internal briefs must be clear, precise, and usable without editing. This will be tested.

β€’ At least some direct client or stakeholder exposure β€” you have been in the room, taken notes, and followed up

β€’ Comfort with ambiguity and early-stage environments β€” there is no established playbook here; you will build it

β€’ Background in engineering (BTech/BE in CS, IT, or ECE preferred) or equivalent technical literacy gained through experience


Strong Plus

β€’ Experience at a startup, consulting firm, or managed services company β€” not just large IT services

β€’ Familiarity with AI, voice technology, or CX platforms β€” you don’t need to be technical, but you need to be curious enough to understand what the team is building

β€’ Hands-on experience with project or delivery tools β€” Jira, Asana, Notion, Confluence, or similar

β€’ Experience writing requirement documents, BRDs, or functional specs that engineers have actually used


What this is not

This is not a role for someone who needs a fully defined scope, a large team around them, or a manager to tell them what to do next. The boundaries of this role will expand as the company grows β€” and the person in this seat is expected to grow with them. If you are looking for a stable, well-defined program management position at a large organisation, this is not that.
