Job Description

Kelly Jennings & Associates has been exclusively appointed by an established organisation in the third sector to recruit a Procurement Administrator for its Belfast based team.


This is a varied, hands on procurement role offering the opportunity to work closely with management, with duties spanning across contracts, sourcing, supplier management and wider regulated procurement activity. The organisation is continuing to develop its procurement capability, and this appointment will provide additional resource to manage daily workload while supporting the continued improvement of procurement processes.


The role


Working closely with the Procurement Manager and various stakeholders across the organisation, you will:


  • Support below threshold procurement exercises from initial requirement through to supplier appointment
  • Assist with sourcing, quotations and tender activity
  • Support the preparation and ongoing management of contracts
  • Maintain contract information and monitor key dates and renewals
  • Liaise with suppliers and internal stakeholders
  • Support supplier selection, negotiation and ongoing contract management
  • Review invoices against agreed contractual arrangements and resolve discrepancies
  • Undertake market and supplier research
  • Ensure that procurement in undertaken in line with policy, procedures and compliance requirements
  • Analyse procurement and financial information
  • Provide wider procurement administration as required
  • You will have responsibility for your own procurement activity (lower spend projects)


Full right to work in the UK essential - this role sits outside SWV and our client does not hold a sponsorship licence.


Applicants must meet the following essential criteria in order to be considered for the role:


- 2 years experience in a similar procurement role within a regulated or indirect environment (eg public services, not for profit, third sector, finance, insurances

- GCSE English and Maths at Grade C or above, or equivalent


Your experience should include:


  • Experience in supporting a regulated procurement process
  • Experience in contracts administration
  • Excellent working knowledge and proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook


Skills and competencies

  • Excellent verbal and written communication skills
  • Sound negotiation skills
  • Ability to analyse data and understand financial information
  • IT skills


Package


The position offers a salary in the region of ยฃ27,000ยฃ35,000 alongside a wider benefits package that includes include pension, annual leave increasing with service, health and wellbeing support and ongoing learning. The organisation supports hybrid and flexible working, with a combination of Belfast office and home working once the successful candidate has completed their initial onboarding period.
