Role Overview

We are hiring a highly organised, detail-driven Senior Personal Assistant to support an Ultra High Net Worth Individual (UHNWI) across personal, lifestyle, and professional matters.

This role requires discretion, strong judgement, and the ability to operate calmly across multiple time zones, priorities, and last-minute changes. You will manage complex logistics, sensitive information, and high-touch requests while maintaining structure, clarity, and reliability.


Key Responsibilities

  • Executive & Lifestyle Support
  • Plan and book international and domestic travel (flights, trains, transfers).
  • Arrange accommodation (hotels, serviced apartments, Airbnb).
  • Book restaurants, events, entertainment, wellness, and experiences.
  • Handle concierge requests using client-preferred services.
  • Make bookings using client-provided payment methods when authorised.


Household & Vendor Management

  • Liaise with household staff, drivers, security teams, and external vendors.
  • Coordinate maintenance, renewals, and service appointments.
  • Source and onboard new vendors when required.
  • Maintain accurate records of household services and inventories.


Financial & Administrative Support

  • Track personal and business expenses in shared spreadsheets.
  • Organise bills, receipts, warranties, and key documents.
  • Coordinate with accountants or bookkeepers for monthly reporting.
  • Manage renewals for insurance policies, subscriptions, and services.


Events & Special Projects

  • Support end-to-end planning of:
  • Family celebrations
  • Private gatherings
  • Charity events
  • Business-related functions
  • Manage guest lists, logistics, and gifting.
  • Coordinate with event planners, designers, and caterers.


Research & Advisory Tasks

  • Conduct detailed research on:
  • Vendors
  • Destinations
  • Products and services
  • Prepare comparison summaries and clear recommendations.


  • Reporting & Communication
  • Maintain daily task logs with completed and pending items.
  • Participate in a weekly review call (Wednesdays).
  • Work transparently using time tracking and task management tools.
  • Collaborate closely with the Secondary PA and Account Manager.


Tools & Systems

  • Google Workspace
  • Task tools such as Trello, Notion, or Asana
  • WhatsApp, Zoom, Teams
  • Cloud storage platforms (Google Drive, Dropbox)


Required Skills & Experience

  • 4–8+ years’ experience as a PA / EA / Lifestyle Manager, ideally supporting HNWI or UHNWI clients.
  • Proven experience managing complex travel and logistics.
  • Strong written and verbal English.
  • Excellent organisational and time-management skills.
  • Comfortable handling confidential and sensitive information.
  • Calm under pressure and able to prioritise quickly.
  • Tech-savvy and confident using digital tools and spreadsheets.
  • Willingness to work across time zones with advance notice.
