Downey Osborne is partnering with a leading organisation to recruit a PA to Director of Finance. This is an excellent opportunity for an organised, proactive and detail-focused individual to provide high-level support to a Director of Finance, helping to manage priorities, coordinate key activity and ensure the smooth running of the finance function.

About You

  • Previous experience in a PA, Executive Assistant, Senior Administrator or similar role

  • Experience supporting senior management would be highly desirable

  • Excellent organisational and time management skills

  • Strong attention to detail and accuracy

  • Excellent written and verbal communication skills

  • Confident managing competing priorities and changing deadlines

  • Professional, personable and approachable manner

  • Strong Microsoft Office skills, particularly Word, Excel, PowerPoint and Outlook

  • Ability to handle confidential and sensitive information with discretion

  • Ability to work independently and use initiative

  • Calm and organised when working under pressure

  • Proactive approach, with the ability to anticipate requirements


About Your New Role

Always

  • Manage the Director of Finances diary, meetings and competing priorities.

  • Act as a key point of contact for the Director, handling calls, correspondence and queries.

  • Maintain a high level of confidentiality when dealing with sensitive information.

  • Prepare correspondence, reports, presentations, agendas and meeting documentation.

  • Coordinate meetings and ensure relevant information is available in advance.

  • Maintain accurate records, databases and filing systems.

  • Liaise with internal and external stakeholders on behalf of the Director.

  • Monitor key actions and deadlines to ensure nothing is overlooked.


Often

  • Take minutes at meetings and follow up on agreed actions.

  • Research and collate information for meetings, reports and presentations.

  • Support the Director with projects and strategic initiatives.

  • Coordinate project actions, timelines and deliverables.

  • Prepare reports and analysis to support decision-making.

  • Arrange travel and meeting logistics.

  • Develop and maintain systems and processes to improve organisation and efficiency.

  • Provide support across the wider finance and administrative team.


Occasionally

  • Assist with wider organisational projects and events.

  • Support the coordination of senior management activity.

  • Provide additional administrative support across the business.

  • Assist with ad hoc projects and tasks as required.


Never

  • Lose sight of priorities when plans change.

  • Stick a metal fork in a microwave.
