This position manages the day-to-day essential office and facilities operations for the designated office(s), relying on experience and judgment to plan and accomplish goals.**Essential Functions and Responsibilities:*** Manage and maintain the physical appearance of the office by overseeing common area maintenance with outside vendors for painting, carpet cleaning, furniture repairs and improvements* Act as primary contact to outsourced local office services Account Manager to monitor efficiency of day-to-day office services and Guest Experience and hospitality operations* Process invoices for payment (Federal Express, parking, repairs, etc.)* Plan, organize and implement office moves (internal and external)* Update office map on a monthly basis* Update YourSource pages for the supported offices* Oversee Condeco management system for conference room reservations and guest offices* Maintain and update emergency procedures, including scheduling trainings, and ensuring all equipment is kept up to date with proper certifications and battery backup* Manage the building’s SAFE system and the firm’s Kastle system to ensure security protocols are followed* Design, manage, support, and enforce office emergency policies and procedures, including managing emergency situations by rationally and calmly solving problems and leading others under potentially extreme situations* Plan and coordinate office events and activities (both internal and external events), including internal fundraising for pro bono and community service initiatives* Collaborate with the firm-wide procurement team and other outside vendors to manage and analyze local office supplies and inventory levels, including office snacks program* Serve as liaison with building management* Maintain business relationships with local and on-site supply and service vendors* Identify opportunities to reduce costs and improve operational efficiencies* Special projects as directed by the Office Administrator**Job Specifications:*** Bachelor’s degree* At least seven (7) years of related work experience* Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)* Strong written and verbal communication skills* Strong leadership and motivational skills* Ability to travel and work flexible and/or fluctuating work hours* Ability to work under tight deadlines and prioritize responsibilities* Ability to maintain and handle confidential information* Ability to work effectively in a fast-paced environmentSuccessful candidates will be provided with outstanding career opportunities and will receive a competitive total rewards package with the opportunity to earn performance-based bonuses. Target Hiring Range $102,000 - $130,000Please note that quoted salary ranges are not guarantees of what final salary offers may be.
Base pay is based on market location and may vary depending on job-related knowledge, skills, experience, and geographic location. Base pay is only one part of the Total Rewards that MWS provides to compensate and recognize our staff professionals for their work.
