Job Description

Administrator (12-Month Fixed Term Contract)

Wetherill Park, NSW | $45 per hour

Are you a highly organised Administrator who thrives in a fast-paced environment? Do you love being the person who keeps everything running smoothly, can juggle multiple priorities, and is always one step ahead?

We're looking for a proactive, switched-on Administrator to join our Operations team on a 12-month fixed-term contract covering maternity leave. This is a varied and hands-on role where no two days are the same. You'll work closely with the leadership team, providing high-level administrative support while coordinating site operations, compliance, training, return-to-work administration, and general office management.

About the Role

As the Administrator you'll play a key role in supporting the day-to-day operations of a busy production site. You'll be the central point of contact for administration, ensuring processes run efficiently while supporting managers, employees, and external stakeholders.

Key Responsibilities

  • Provide high-level administrative support to the Operations and Management teams.
  • Coordinate meetings, minutes, reports, presentations, and site communications.
  • Manage document control, filing systems, and compliance records.
  • Support Return to Work (RTW) administration and Workers Compensation processes.
  • Coordinate employee training, compliance records, medicals, inductions, and external training.
  • Maintain employee records, onboarding, offboarding, and site access.
  • Coordinate casual workforce administration, agency bookings, and timesheet approvals.
  • Financial administration duties.
  • Prepare operational, safety, and management reports.
  • Support safety initiatives, incident reporting, audits, and compliance activities.
  • Organise site events, catering, meetings, and general office facilities.
  • Manage office supplies, PPE ordering, security access, keys, and site equipment.
  • Liaise with internal departments and external suppliers to ensure smooth day-to-day operations.
  • Identify opportunities to improve processes and drive operational efficiencies.

About You

We're looking for someone who is:

  • Highly organised with exceptional attention to detail.
  • Able to multitask and confidently manage competing priorities.
  • A proactive problem solver who takes initiative.
  • A forward thinker who anticipates business needs before they arise.
  • Professional, approachable, and confident communicating with stakeholders at all levels.
  • Calm under pressure and able to adapt in a busy operational environment.
  • A team player who enjoys supporting others and improving processes.

Skills & Experience

  • Minimum 3 years' experience in an Office Manager, Operations Administrator, Executive Assistant, or Senior Administration role.
  • Previous experience supporting a busy operations or manufacturing environment is highly regarded.
  • Strong Microsoft Office skills (Word, Excel & PowerPoint).
  • Experience using SharePoint, SAP and other business systems is advantageous.
  • Excellent organisational, communication and time management skills.
  • Experience with Return to Work, Workers Compensation, training coordination or WHS administration is highly desirable.
  • Ability to maintain confidentiality and handle sensitive information professionally.

What's on Offer?

  • $45 per hour
  • 12-month fixed-term contract covering maternity leave.
  • Wetherill Park location.
  • Diverse, fast-paced role with plenty of variety.
  • Supportive and collaborative team environment.
  • Opportunity to make a real impact within a well-established organisation.

If you're an organised, proactive professional who enjoys taking ownership, solving problems, and keeping operations running smoothly, we'd love to hear from you.
