Key duties and responsibilities

  • Plan, organise and review office administration systems, procedures, workflows and service standards.
  • Manage the day-to-day operations of the office and coordinate administrative support for residential construction projects.
  • Allocate work to administrative, accounts and support staff and monitor their workload, performance and deadlines.
  • Coordinate office staffing requirements, including recruitment, onboarding, training, leave records, performance reviews and payroll information.
  • Manage office records and accounts, including supplier invoices, purchase orders, progress claims, receipts, project expenses and payment documentation.
  • Maintain accurate project and corporate records, including building contracts, variations, permits, approvals, warranties, insurance documents and subcontractor information.
  • Liaise with directors, project managers, site supervisors, estimators, accountants and other professionals to coordinate business operations and resolve administrative issues.
  • Communicate with clients, suppliers, subcontractors, consultants, certifiers, councils and insurers regarding documents, appointments, payments and project administration.
  • Establish and maintain document-control systems for plans, specifications, contracts, correspondence and project files.
  • Coordinate office resources, workspace, computer systems, equipment, software subscriptions and stationery.
  • Ensure office equipment and supplies are maintained and arrange repairs or replacement when required.
  • Develop and implement office policies and procedures relating to recordkeeping, purchasing, communication, approvals and staff responsibilities.
  • Monitor administrative deadlines associated with contracts, licences, insurance, statutory approvals, employee records and project documentation.
  • Assist management with business reports, project cost information, cash‑flow records, supplier reports and operational performance information.
  • Coordinate meetings, prepare agendas and minutes, maintain management calendars and follow up agreed actions.
  • Ensure office activities comply with applicable legislation, company policies, privacy requirements and recordkeeping procedures.
  • Coordinate office‑based work health and safety requirements, staff inductions, incident records and compliance documentation.
  • Identify administrative problems and recommend improvements to management to increase efficiency and service quality.

Position-Full time (38hrs/week)
Salary-$80,000-$90,000 plus Superannuation
Experince-1-3years in relevant field
Study- AQF associate degree or Min bachelor degree
