Job Description Job Description The Office Manager will lead and optimize day-to-day office operations to ensure a productive, efficient, and well-governed working environment. This role is responsible for overseeing administrative functions, workplace coordination, and operational support, while driving continuous improvement in processes, communication and service delivery. Key responsibilities include managing office systems and procedures, coordinating cross-functional support activities, maintaining office inventory and managing vendor relationships.

The role also plays a critical part in creating an organized, responsive, and professional workplace experience meeting ANSA McAL standards and culture. The ideal candidate will be a proactive and resourceful professional who is comfortable balancing varied areas of responsibility. They will demonstrate strong organizational and problem-solving skills, exercise sound judgment, and operate effectively with a high degree of autonomy.

Responsibilities Facility Coordination · Oversee office operations, including maintenance, vendors, landlord relations, supplies and space planning. · Manage contracts, procurement, and office inventory to ensure cost-effective and efficient service delivery. · Maintain office systems, procedures and records. · Ensure security, integrity, and confidentiality of office systems and data. IT Coordination · Liaise with IT providers to ensure reliability of office systems and equipment. · Support Group IT in the implementation and optimisation of technology and administrative systems, as required. · Ensure data integrity, security, and continuity of office operations.

Payroll · Coordinate and administer end-to-end payroll processes, ensuring accuracy, timeliness, and compliance with company policies and statutory requirements. · Liaise with HR and Finance to ensure employee data (new hires, terminations, salary adjustments, benefits, and allowances) is accurately reflected in payroll systems. · Manage payroll-related queries from employees and resolve discrepancies in a timely and confidential manner. · Support year-end payroll activities, including statutory filings, employee tax documents, and audit requirements. People · Lead onboarding, training, coaching, and development of office personnel. · Partner with HR to implement policies and drive a productive work environment. · Promote continuous development through coaching and professional growth initiatives Other · Support business operations through project coordination, analysis, and event planning. · Develop and improve policies, procedures, and overall office efficiency. Education Bachelor’s degree in Business Administration, Management, Human Resources, or a related field.

Training in payroll administration, office systems, or facilities management is beneficial. Experience 5 - 8 years’ experience in office administration, operations, or business support roles, with at least 2–3 years in a supervisory capacity. Proven experience managing office operations, vendors, and administrative teams in a structured environment.

Hands-on experience with payroll coordination, budgeting, and cross-functional support (HR/Finance/IT). Skills & Competencies Strong organizational, coordination, and problem-solving skills. High level of discretion and ability to handle confidential information.

Proficiency in Microsoft Office (especially Excel and PowerPoint) and office management systems.
