The Office Experience & Operations Manager is a shared role supporting both Time & Space and NATIONAL, responsible for overseeing the day-to-day operations of the Halifax office while providing administrative and operational support to executives across both organizations. This role manages office administration, workplace experience initiatives, executive support, event coordination, vendor relationships, and operational processes to ensure the office runs smoothly and efficiently. As a key point of contact for employees, clients, vendors, and visitors, the Office Experience & Operations Manager plays an important role in creating and maintaining a professional, organized, welcoming, and service-oriented workplace environment.
Working across both companies, this individual helps foster collaboration, consistency, and a positive employee experience while supporting the unique needs and priorities of each organization. RESPONSIBILITIES AND OBJECTIVES Oversee daily office operations, reception, visitor management, workplace services, facilities, supplies, and administrative processes to maintain an organized, professional, and welcoming environment. Coordinate meetings, office activities, and workplace engagement initiatives while ensuring compliance with office policies, health and safety standards, and security procedures.
Manage relationships with vendors, contractors, and service providers to support efficient office operations and service excellence. Serve as a key point of contact for employees, clients, vendors, and guests, responding to inquiries and coordinating support as needed. Provide administrative support to senior leaders, including calendar management, meeting coordination, travel arrangements, expense reporting, and document administration.
Organize meeting logistics, prepare materials, and ensure leaders have the information and resources required to operate effectively. Plan and coordinate corporate events, including offsites, client events, celebrations, awards programs, and team gatherings. Manage event logistics, budgets, timelines, vendors, venues, catering, and stakeholder communications from planning through execution.
Provide administrative and project coordination support for special projects, business initiatives, and employee engagement activities as assigned. WHAT YOU'LL BRING Weβre looking for a highly organized and proactive professional with experience in office management, executive support, workplace operations, or a related role. A post-secondary education in business administration, office administration, communications, or a related field is considered an asset.
The ideal candidate will also bring: Proficiency in Microsoft 365 applications, including Outlook, Excel, PowerPoint, Word, and Teams. Strong organizational and time management skills, with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment. Excellent written and verbal communication skills, with a professional, service-oriented, and approachable demeanor.
Demonstrated ability to handle confidential and sensitive information with discretion and sound judgment. A proactive, resourceful mindset with the ability to identify solutions and support operational excellence. Strong interpersonal skills and the ability to build effective relationships with senior leaders, colleagues, clients, vendors, and external partners.
Experience coordinating meetings, events, and workplace engagement initiatives is considered an asset.
