Job Description
The Role We are looking for an experienced and highly organised Estate Agency Office Administrator to join our growing business in Kilsyth. This is a varied role for someone who understands estate agency, enjoys supporting people and takes pride in keeping a busy office organised. You’ll provide day-to-day administrative support to our network of self-employed estate agents, help manage the Kilsyth office and provide PA and administrative support directly to the Managing Director. There is also an important commercial element to the position. We generate enquiries from homeowners considering selling their property, and you’ll be responsible for responding to these opportunities, speaking with potential clients and helping convert them into valuation appointments for our agents. You’ll receive additional performance-related income for helping turn these opportunities into business. What You’ll Be Doing Office & Agent Administration * Support the day-to-day running of our Kilsyth office. * Provide administrative support to our estate agents. * Assist agents with systems, templates, documentation and processes. * Maintain accurate information within our CRM. * Support the onboarding of new agents. * Coordinate property boards, marketing materials and office supplies. * Assist with invoicing and general business administration. * Maintain organised records and documentation. * Help coordinate meetings, training and agent events. * Deal professionally with telephone, email and office enquiries. You should understand how a residential property transaction works and the roles of solicitors, surveyors, mortgage advisers and other stakeholders. Our agents remain responsible for progressing their own property sales. This is not a sales progression role. PA Support to the Managing Director You’ll work closely with the Managing Director and provide practical support including: * Diary and appointment management. * Managing and prioritising actions and correspondence. * Preparing documents, reports and presentations. * Organising meetings and maintaining action lists. * Following up agreed actions. * Supporting recruitment and onboarding. * Coordinating ongoing business projects. * Helping ensure important tasks don’t get lost in a busy working environment. We’re looking for someone who enjoys taking ownership and is comfortable being trusted to get things done. Valuation Leads & Business Generation We regularly receive enquiries from homeowners who are considering selling their property. You’ll help us make the most of those opportunities by: * Responding quickly to new valuation enquiries. * Speaking confidently and professionally with potential sellers. * Understanding why they’re considering moving and their likely timescale. * Booking valuation appointments with the appropriate estate agent. * Following up clients who aren’t quite ready to book. * Recording all conversations and future actions within the CRM. * Ensuring opportunities receive consistent follow-up. * Identifying other potential business and referral opportunities. You’ll be rewarded financially for successfully helping turn these opportunities into new business. Who We’re Looking For Previous experience within estate agency or residential property is strongly preferred. You may currently be working as a: * Estate Agency Administrator * Branch Administrator * Sales Administrator * Property Administrator * Estate Agency Negotiator * Housebuilder Sales Administrator * Property PA or similar More important than your current job title is that you understand the property industry and can confidently deal with agents, clients and professional contacts. You’ll need to be: * Highly organised. * Confident on the telephone. * An excellent communicator. * Comfortable speaking with prospective sellers. * Accurate and attentive to detail. * Confident using CRM and standard office systems. * Able to prioritise your own workload. * Proactive rather than waiting to be told what to do next. * Comfortable working closely with the Managing Director. * Someone who takes ownership when something needs done. A driving licence is helpful but not essential. Salary & Bonus Basic salary: £26,000 We also want to reward someone who contributes directly to the success of the business. You’ll therefore have access to a performance-related bonus scheme with uncapped earning potential, including rewards linked to the successful conversion of valuation leads into appointments, instructions and ultimately completed business. Expected earnings are £32,000+ for someone performing strongly in the role.
