\nAlora Designs is a boutique architecture and interior design studio creating bespoke residential, commercial, and hospitality spaces. We are looking for an organized, proactive, and detail-oriented Office Administrator who can become the operational backbone of our growing studio.

\nKey Responsibilities
\nOffice Operations
\n- \n
- Manage the day-to-day administrative operations of the studio. \n
- Ensure office supplies, equipment, and workspace requirements are maintained. \n
- Coordinate with vendors for office-related requirements and maintenance. \n
- Maintain organized physical and digital records. \n
Team Coordination
\n- \n
- Allocate daily tasks to the design team based on project priorities. \n
- Track task completion and follow up on pending deliverables. \n
- Maintain employee attendance, leave records, and basic HR documentation. \n
- Assist management in ensuring smooth internal communication. \n
Meeting & Vendor Coordination
\n- \n
- Schedule and coordinate meetings with vendors, consultants, and external stakeholders. \n
- Manage meeting calendars and ensure timely follow-ups. \n
- Prepare meeting agendas and document key action items where required. \n
Recruitment & HR Support
\n- \n
- Coordinate the recruitment process by screening applications and scheduling interviews. \n
- Communicate with shortlisted candidates throughout the hiring process. \n
- Prepare offer letters, employment contracts, and onboarding documentation. \n
- Support employee onboarding and maintain personnel records. \n
Finance & Administration Support

- Record day-to-day financial transactions. \n
- Maintain expense records and payment logs. \n
- Prepare payment receipts, invoices, and supporting administrative documents. \n
- Coordinate with the finance team or accountant to ensure documentation is complete and accurate. \n
What We're Looking For
\n- \n
- Bachelor's degree in Business Administration, Commerce, Human Resources, Management, or a related field. \n
- 1โ3 years of experience in office administration, operations, HR coordination, or a similar role. \n
- Strong organizational and multitasking skills. \n
- Excellent verbal and written communication skills. \n
- Proficiency in Microsoft Office (Excel, Word) and Google Workspace. \n
- Comfortable handling confidential information with professionalism. \n
- Ability to prioritize tasks and work independently in a dynamic environment. \n
Bonus Skills
\n- \n
- Experience working in an architecture, interior design, construction, or creative studio. \n
- Familiarity with HR documentation and recruitment processes. \n
- Basic understanding of bookkeeping or finance documentation. \n
- Experience using project management tools such as Notion, ClickUp, or similar platforms. \n
