Position summary: Position Tittle: Manager Project Portfolio & Resource Planning The Manager Project Portfolio & Resource Planning is responsible for how technology demand, projects, resources, and funding are planned and tracked across Visys Industrial & Digital Technology portfolio. The role provides clear visibility of priorities, capacity, and workloads so leaders can make informed decisions and teams can deliver the right work at the right time. This role owns the technology demand intake process, portfolio data quality, and resource planning disciplines, and works closely with business stakeholders and IDT delivery teams to ensure consistent governance and reliable reporting.
Technology Demand Intake & Governance: Manage the end-to-end technology demand intake process in ServiceNow Ensure demand submissions are complete, accurate and meet IDT governance standards Coordinate assessment, prioritization and approvals with relevant stakeholders. Maintain accurate demand status and records Stakeholder Engagement & Process Enablement: Act as the primary point of contact for business users submitting technology demands Guide stakeholders on documentation, process requirements and timelines Work with portfolio managers and delivery teams to resolve gaps or ambiguities Promote consistent use of IDT intake and governance processes Portfolio & Project Data Management: Maintain accurate and portfolio records in ServiceNow Support teams to keep project status, milestones, risks and financials up to date Ensure compliance with IDT project and portfolio standards Resource Planning & Capacity Visibility: Administer project resource plans based on agreed estimates and timelines Maintain visibility of current workload, future demand, and capacity constraints Support transition from approved demand into funded and resourced projects Reporting & Insights: Produce regular portfolio, demand, and resource reports for IDT leadership Provide insights to support prioritization, planning and funding decisions Validate accuracy with portfolio managers and team leaders Funding & Planning Support: Support preparation of funding submissions and planning artefacts Coordinate inputs from delivery teams, architecture, finance and portfolio management Assist with annual planning cycles and roadmap updates Continuous Improvement & Data Quality: Monitor data quality and process compliance across ServiceNow records Identify recurring issues and work with teams to improve processes and outcomes Support improvements of workflows, forms, and reporting Key challenges Managing a high volume of technology demand requests while ensuring submissions are complete, accurate, and aligned to governance standards Maintaining high-quality, up-to-date project, demand, and resource data in ServiceNow to support reliable reporting and decision-making Influencing diverse business and technology stakeholders to follow consistent intake, planning, and governance processes Mandatory (critical for the role) Experience in IT portfolio management, project coordination, PMO or resource planning roles Strong working knowledge of ServiceNow, particularly Demand, Project, and Resource Planning modules Experience supporting governance processes, approvals and structured decision making Experience working with multiple stakeholder groups across business and technology teams Experience working in a geographically distributed or global team environment Skills: Strong organizational and coordination skills, with the ability to manage multiple workstreams High attention to detail and commitment to data accuracy Ability to analyze portfolio, demand, and resource data and identify issues or trends Ability to influence and work collaboratively with senior leaders, portfolio managers, and delivery teams Strong problem - solving skills, including identifying root causes and recommending practical actions Ability to work independently, prioritize workload, and meet deadlines Proficient in Microsoft Excel, PowerPoint, and reporting tools
