Junior Transfer Agency Shareholder Service Representative
Location: Kraków
Type of work: Full time
Hybrid model: 3 days per week in office, 2 days per week for parents of children up to 4 years old.
We hire a Junior Transfer Agency Shareholder Service Representative to process inquiries and support the Transfer Agency team’s day‑to‑day operations, ensuring high service quality for clients, investors and internal stakeholders.
Responsibilities
- Process inquiries within agreed internal and external Service Level Agreements (SLAs).
- Log inquiries in the query management database and follow up on outstanding items.
- Assist with client reporting and other operational tasks.
- Support handling of non‑routine processing items and help raise escalations when appropriate.
- Collaborate with Client Service Managers and Production Support teams on new business initiatives.
- Prepare mailings and communications for internal or external recipients.
- Ensure fund prospectus requirements are followed in daily processing activities.
- Maintain accuracy and meet established deadlines.
- Follow established policies and procedures and identify opportunities for process improvements.
- Assist with month‑end reporting activities.
- Develop knowledge of industry trends and participate in training sessions and presentations.
- Build effective working relationships with colleagues, clients and stakeholders.
Qualifications
- Bachelor’s degree (Master’s preferred) or equivalent work experience.
- English proficiency, C1 level.
- 0.5–2 years of experience in Transfer Agency, Fund Accounting, Financial Services or a related field.
- Strong customer service orientation and willingness to learn.
- Good attention to detail and accuracy.
- Ability to manage multiple tasks and priorities.
- Ability to work effectively in a team environment and meet deadlines.
- Good verbal and written communication skills in English.
- Problem‑solving attitude and willingness to adapt to change.
- Knowledge of Microsoft Office applications (Word, Excel and PowerPoint).
- Knowledge of Transfer Agency systems, payment systems, reconciliations or Multifonds is an advantage but not required.
