Facilities & Admin Support

Hours: Monday – Friday
Reporting to: Production Manager

About the Role

We are recruiting on behalf of our client, a leader in food nutrition, ans are interested in speaking with organised, reliable and proactive Facilities & Admin Support to provide day-to-day facilities and administrative support within a busy working environment.

This is a varied, hands-on role involving a combination of facilities coordination, administration, visitor management, diary management and general operational support.

The successful candidate will work closely with the Production Manager and wider team to help ensure the facility runs smoothly, visitors are professionally managed and day-to-day requirements are followed up and completed.

Key Responsibilities

Facilities Support

  • Support the day-to-day coordination and smooth running of the facility.
  • Follow up on facilities-related issues, maintenance requests and outstanding actions.
  • Liaise with suppliers, contractors and service providers as required.
  • Coordinate and manage supplier and contractor visits to site.
  • Keep relevant facilities records and documentation up to date.
  • Report facilities issues or concerns to the Production Manager and follow through to resolution.
  • Assist with general workplace organisation and ensure shared areas are maintained to an appropriate standard.

Visitors & Meetings

  • Coordinate customer, supplier and contractor visits.
  • Welcome visitors and ensure they are directed to the appropriate person or area.
  • Prepare meeting rooms in advance of meetings, including room layout, refreshments and any required equipment.
  • Ensure meeting rooms are maintained, presentable and ready for use.
  • Assist with coordinating meetings and appointments.
  • Support diary management and scheduling as required.

Administration

  • Provide general administrative support to the Production Manager and wider team.
  • Manage emails, documents, records and other routine administration as required.
  • Assist with preparing documents, correspondence and meeting information.
  • Maintain accurate records and follow up on outstanding actions.
  • Coordinate appointments, meetings and facility-related activities.
  • Assist with ordering office or facility supplies where required.
  • Complete filing, data entry and other general administrative duties.

General Support

  • Act as a point of contact for routine facilities and administrative queries.
  • Support the Production Manager with day-to-day operational requirements.
  • Follow up with internal teams, suppliers or contractors to ensure agreed actions are completed.
  • Assist with organising internal meetings, events or site visits.
  • Carry out general ad hoc tasks as requested by the Production Manager.
  • Work flexibly to support changing business and operational requirements.

The successful candidate will be someone who enjoys a varied role and is comfortable managing a number of different tasks throughout the working day.

Ideally, you will be:

  • Friendly, professional and confident dealing with customers, suppliers and visitors.
  • Proactive and willing to take ownership of tasks and follow-ups.
  • A strong communicator with good interpersonal skills.
  • Comfortable working independently while also supporting a wider team.
  • Able to prioritise tasks and manage competing requirements.
  • Reliable, practical and willing to help where needed.
  • Comfortable using Microsoft Office, email, calendars and general business systems.
  • Able to handle information professionally and confidentially.

Previous experience in administration, facilities, office coordination, reception, customer service or a similar support role would be an advantage.
