Job Description

We are looking for an organised and proactive Facilities Manager to support our growing, multi-country renewable energy business. This is a varied role responsible for ensuring our Cork, Edinburgh and London offices are safe, functional and well maintained, while also overseeing facilities services, supplier relationships, fleet management and workplace compliance. You will work closely with internal stakeholders, external vendors and QHSE to keep our offices and fleet operating smoothly and efficiently.

Facilities Management

  • Manage the day-to-day operation of the Cork, Edinburgh and London offices, ensuring facilities are safe, functional and well maintained
  • Coordinate contractors, building management, maintenance schedules, visitor access, office supplies, post, catering and workplace equipment
  • Support office communications, onboarding/offboarding requirements, company events, waste management initiatives, budgets and real estate administration

Hard Services

  • Oversee planned preventative maintenance and reactive maintenance requirements across office locations.
  • Ensure maintenance issues are logged, tracked and completed in a timely manner through the appropriate systems and suppliers.

Soft Services

  • Manage soft service suppliers including cleaning, catering, hospitality, pest control, waste, stationery and office consumables.
  • Ensure office amenities such as coffee machines, water coolers and kitchen supplies are maintained through appropriate contracts and vendor support.
  • Monitor service quality, invoices and recurring requirements to ensure offices remain well supported and operational.
  • Manage relationships with hard and soft service vendors to ensure agreed service levels and KPIs are met.
  • Hold regular supplier reviews, address service issues and ensure contracts remain fit for purpose.

Fleet Management

  • Manage the UK and Ireland vehicle fleet, including pool vehicles, leases, servicing, insurance, tax requirements and supplier coordination.
  • Maintain fleet compliance records, driver licence information, vehicle databases, trackers, dashcams and annual driver declarations.
  • Oversee EV charger installation, maintenance and reporting for employee residences, operational sites and office locations.

QHSE

  • Support workplace health, safety and compliance activities, including training records, audits, safety walks and emergency planning.
  • Act as a key point of coordination for H&S committee activity, safety representatives, first aid, fire safety and employee concerns.
  • Work closely with QHSE to ensure office and fleet-related requirements remain compliant and up to date.

Ad Hoc Responsibilities

  • Provide flexible support across facilities, fleet, office operations and employee experience initiatives as business needs arise.
  • Contribute to continuous improvement of workplace processes, supplier management and operational efficiency.

To succeed in the role:

  • Proven experience in facilities management, office management, workplace operations or a similar role, ideally within a multi-site or multi-county environment.
  • Strong supplier and contractor management experience, with the ability to monitor service levels, resolve issues and manage recurring requirements.
  • Good working knowledge of hard and soft services, including maintenance, cleaning, catering, office consumables and workplace equipment.
  • Experience supporting health, safety and compliance activities in an office or operational environments.
  • Strong organisational skills with excellent attention to detail and the ability to manage multiple priorities across different locations.
  • Confident managing budgets, invoices, contracts, records and administrative processes.
  • Practical, hands-on approach with strong problem-solving skills and the ability to respond quickly to day-to-day operational issues.
  • Excellent communication and stakeholder management skills, with the confidence to liaise with employees, suppliers, building management and senior stakeholders.
  • Experience with fleet management, vehicle administration or EV charging infrastructure would be an advantage.
  • A self-starter who can work independently, take ownership and continuously improve workplace processes.
